Position Overview We are seeking a dependable, organized, and proactive Executive Assistant to provide comprehensive support to our executive office through high-level administrative tasks. In this pivotal role, you will be instrumental in ensuring the seamless operation of the executive office by managing schedules, coordinating meetings, handling confidential materials, and liaising with key stakeholders, all while contributing to the overall efficiency of the office. This is a full-time, non-exempt position, with anticipated hours ranging from 40 to 45 hours per week, Monday through Friday, from 8:30 AM to 5:00 PM, while allowing for flexibility when necessary. You will report directly to the Vice President of Administration and collaborate closely with our Executive Team, including the CEO, COO, CFO, and various Vice Presidents. Key Responsibilities - Manage the calendar by scheduling and coordinating meetings, appointments, and travel for executives. - Proactively anticipate scheduling conflicts to optimize executive time effectively. - Handle phone calls and manage correspondence on behalf of executives. - Organize meeting materials, prepare agendas, and ensure executives are well-prepared. - Attend meetings to take minutes and follow up on action items as needed. - Arrange travel logistics, including flights and accommodations, and provide detailed itineraries. - Organize electronic and physical files for easy access while maintaining document confidentiality. - Collaborate with Executive Leadership to support daily operations and assist with various ad-hoc projects. Required Skills - Proven experience as an Executive Assistant or in a similar role supporting high-level executives. - Exceptional organizational and time management capabilities, with a strong ability to prioritize tasks effectively. - Excellent written and verbal communication skills. - High proficiency in Microsoft Office Suite (Word, Excel, Teams, PowerPoint), with a willingness to master additional software. - Discretion and confidentiality in handling sensitive information are paramount. - Project management experience is advantageous. Qualifications - Reliability is essential; excessive tardiness or absenteeism is not acceptable. - A professional appearance and demeanor are required. - A Bachelor's degree is preferred; however, a High School Diploma or GED equivalent is mandatory.
