We are hiring a new Quality and Compliance Coordinator to join our team. As the Q&C Coordinator, you will act as the System Administrator for Buckelew Program’s Electronic Health Record (EHR) system, Credible, and as a Super User for the county EHR system, SmartCare. You will ensure client records within the EHR are complete and compliant according to federal, state, and/or local laws and regulations. Additionally, you will manage the online learning platform (Relias) to ensure compliance with training requirements, provide administrative support, documentation, and assist in maintaining accurate system processes. This position offers a hybrid work schedule with the opportunity to work partially from home.
WHAT YOU WILL DO:
Electronic Health Record
Education and Experience: Associate degree or higher with coursework in Behavioral Health, Human Resources, Business, or Public Health preferred. Experience working with EHR or EMR systems preferred. Experience in healthcare and/or non-profit environments a plus. Strong analytical and problem-solving skills. Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint & Excel) required. Highly organized and able to effectively prioritize multiple tasks and responsibilities. Excellent written, verbal, and interpersonal skills.
Skills and Abilities: Possess strong communication skills, both in writing and verbal. Self-motivated and able to work independently as well as with a team. Organized and able to effectively prioritize multiple tasks and responsibilities with excellent administrative skills. Ability to learn and work within all the rules, regulations, and policies that govern agency compliance. Ability to partner with and support program leaders throughout an organization as well as with government agencies. Reliable, with excellent attention to detail and accuracy. Working understanding of highly confidential environments and ability to maintain confidentiality.
Must be fluent in English. Bi-lingual, bi-cultural skills a plus especially English and Spanish language fluency and cultures present in North and Central America. Able to pass Criminal Justice and Department of Social Services clearances and any other clearances that may be required by the responsibilities of the position. Requires a valid California driver’s license, personal automobile for use on the job, and an insurable DMV record.

WHAT YOU WILL DO:
Electronic Health Record
- Provides ongoing onsite and remote EHR support to staff. Troubleshoots application issues quickly and effectively for support issues submitted by staff. Escalates appropriately to Tech Support and manages resolution process.
- Provides training materials for new hires (Credible).
- Runs and provides monthly EHR reports to program leads and liaises with county personnel to ensure reports are pulling accurate information.
- Conducts quarterly audits of users and permissions, ensures employee information is accurate, and adjusts appropriately.
- Responds in a timely manner to all client record requests with guidance from the QC Manager and/or QC Director
- Updates and maintains record request tracker
- Manages day-to-day operations of the online learning platform (Relias).
- Assigns mandatory training to employees based on roles, departments, or compliance requirements.
- Ensures the system is up to date with current training materials and/or modules.
- Collaborates with the People Team to align training needs with organizational goals.
- Ensures training activities align with internal policies, industry standards, and accreditation or regulatory requirements.
- Monitors course completion and sends reminders to staff on overdue assignments.
- Generates and distributes completion reports to supervisors and provides data for Q&C committee.
- Provides administrative support, documentation, and assistance for the Q & C department with quarterly internal audits.
- Assists the QC Manager/Director in responding to external audit requests, ongoing CARF readiness, program needs, or meetings.
- Coordinates retrieval and processing (mailing off-site) of all client survey documentation (uSPEQ)
- Oversees stored record retention process (Corodata). Coordinates with programs for stored record retention use and record retrieval. Coordinates with Corodata for removal or install of shredding bins per program needs. Conducts annual audit of stored files to determine removal of files that exceed 10-year storage requirements. Coordinates with programs to ensure accuracy in file deletion.
- Participates in, and records minutes for, the Q&C Committee and attends other meetings as needed.
- Occasionally travels to other Buckelew Programs’ sites to support staff, attend meetings, or support the Q&C Team as needed.
- Remains current on policies and procedures for all relevant business areas.
- Acts as [one of] the administrators for the Employee Portal.
- Uploads new or updated documentation to the Employee Portal as needed.
