Key Responsibilities
- Schedule and coordinate meetings, appointments, and events, optimizing the CEO’s calendar.
- Manage email correspondence, draft communications, and oversee all correspondence on behalf of the CEO.
- Monitor deadlines, prioritize tasks, and ensure the CEO’s preparedness for all engagements.
- Prepare meeting agendas, compile reports, and document minutes during meetings, ensuring timely follow-ups.
- Arrange travel logistics, including flights, accommodations, and transportation for business-related travel.
- Assist the CEO with various projects through research, data gathering, and reporting tasks.
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Serve as the main liaison between the CEO and both internal and external stakeholders.
- Manage administrative tasks such as expenses, invoices, and other relevant duties.
- Exceptional organizational and multitasking capabilities.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficient in productivity software, including Microsoft Office Suite, Google Workspace, and virtual communication platforms (e.g., Zoom, Microsoft Teams).
- Ability to maintain discretion in managing confidential information.
- Proactive in problem-solving and addressing challenges as they arise.
- Flexible and adaptive to a dynamic work environment with competing priorities.
- Demonstrated experience as a personal or executive assistant, preferably in a remote setting.
- Understanding of business administration or healthcare operations; experience in the medical field is advantageous.
- A bachelor's degree in Business Administration, Communications, or a related discipline is preferred.
