Job Overview

The Remote EA to the CEO will play a critical role in managing the CEO's schedule, coordinating communications, and executing confidential responsibilities. This position demands outstanding organizational abilities, meticulous attention to detail, and the capacity to operate efficiently in a remote work environment.

Key Responsibilities

  • Schedule and coordinate meetings, appointments, and events, optimizing the CEO’s calendar.
  • Manage email correspondence, draft communications, and oversee all correspondence on behalf of the CEO.
  • Monitor deadlines, prioritize tasks, and ensure the CEO’s preparedness for all engagements.
  • Prepare meeting agendas, compile reports, and document minutes during meetings, ensuring timely follow-ups.
  • Arrange travel logistics, including flights, accommodations, and transportation for business-related travel.
  • Assist the CEO with various projects through research, data gathering, and reporting tasks.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Serve as the main liaison between the CEO and both internal and external stakeholders.
  • Manage administrative tasks such as expenses, invoices, and other relevant duties.

Required Skills

  • Exceptional organizational and multitasking capabilities.
  • Strong written and verbal communication skills, with a keen attention to detail.
  • Proficient in productivity software, including Microsoft Office Suite, Google Workspace, and virtual communication platforms (e.g., Zoom, Microsoft Teams).
  • Ability to maintain discretion in managing confidential information.
  • Proactive in problem-solving and addressing challenges as they arise.
  • Flexible and adaptive to a dynamic work environment with competing priorities.

Qualifications

  • Demonstrated experience as a personal or executive assistant, preferably in a remote setting.
  • Understanding of business administration or healthcare operations; experience in the medical field is advantageous.
  • A bachelor's degree in Business Administration, Communications, or a related discipline is preferred.
