Essential Functions

Incumbents may perform all or most of the primary accountabilities listed below. Specific tasks, responsibilities or competencies may be documented in the incumbent’s performance objectives as outlined by the incumbent’s immediate supervisor or manager.

  • Provides an introduction to new clients and network providers. This includes conducting pre-implementation calls to ascertain and verify key points of contact for technology requirements and financial/invoicing matters.
  • Conducts corporate kick off calls to establish the cadence of meetings, establishing key points of contact, and set forth expectations for implementation timelines and what to expect to support smooth execution of the project. This includes but is not limited to confirming the necessary information is obtained for EMR integrations.
  • Proactively conducts local client branch discovery calls to understand and validate current issues, current processes, technical tools, etc. and ascertain potential risks. Takes early action to identify potential issues and mediate, which may include escalating to the appropriate internal stakeholder.
  • Gathers appropriate information from clients and vendors to ensure accurate and effective user set up. Works with internal stakeholders to relay information.
  • Upon confirmation of the appropriate implementation status, ascertains availability for training and potential dates to go live. Coordinates information with the training department and provides relevant account information to ensure details of the implementation are appropriately addressed.
  • Requests active equipment data from providers where patients are currently in the field. Loads patient and equipment information and provides a quality assurance review to support accurate and timely invoicing. Takes precautions to ensure that confidential information is protected as defined by company standards.
  • Schedules and coordinates go live calls with providers and clients to ensure that both parties are aware and aligned on details of the implementation as well as connected with the client services representative, post implementation. This includes but is not limited to ensuring that dates, contacts, and timelines are communicated consistently to all parties.
  • Serves as the primary liaison with clients, providers and internal stakeholders to continuously communicate and keep all parties up to date on relevant implementation details. This includes preparing reports on progress and problems and coordinating project team meetings as appropriate.
  • When requested or apparent, facilitates the implementation of current clients to new providers as appropriate.

Supervisory and Managerial Responsibility

  • This position does not have supervisory or managerial responsibilities

Knowledge, Skills & Abilities

Education, Licensure or Certification:

  • A thorough knowledge and understanding of general business management as normally obtained through the completion of a Bachelor’s Degree in Business Administration, or a related field of study
  • Formalized education or training in project management practices, theories, and processes is strongly preferred

Work Experience Or Related Experience

  • A solid understanding of project management processes and techniques to perform the work described above as normally obtained through a minimum of two (2) years of experience coordinating and/or managing projects
  • Customer service and/or account management experience is required or experience in which the incumbent has been engaged in identifying and understanding the customers’ needs, providing solutions and presenting recommendations
  • Operational experience in the medical industry or a hospice environment is preferred
  • Experience in the healthcare or medical fields in which incumbents have gained a thorough understanding of durable medical equipment is preferred

Specialized Knowledge, Skills & Abilities

  • Excellent presentation and interpersonal skills are required to perform the functions as described, including the ability to present information to clients, providers and internal stakeholders
  • Incumbent must possess strong verbal and written communication skills to manage projects as described above.
  • A moderately high degree of organizational skill and ability to manage simultaneous implementation projects. The ability to prioritize with competing priorities is essential
  • Ability to define problems, collect data, establish facts, and draw valid conclusions to manage projects as described above is required. A moderately high level of analytical and decision-making abilities are required
  • The ability to be flexible and adapt to changing processes, system applications, and priorities is required
  • The ability to maintain confidentiality of patient information and follow standard operating procedures with regard to patient data to ensure compliance with HIPAA is required
  • A good understanding of the Company’s products, technologies, selling strategies and internal business functions is necessary to become proficient and competent in this role
  • Must have the ability to work effectively in a fast pace entrepreneurial environment
  • Working knowledge of a PC, business and communications software (MS Office) and web-based tools are required

Travel Requirements And Conditions

  • On a very occasional basis, travel may be required including overnight travel to visit clients and providers

  • Work is generally preformed in an office environment or remote setting in which there is only minimal exposure to unpleasant and/or hazardous working conditions.
