General Description

The Document Control Specialist is responsible for the control of technical documentation supporting the production of finished rubber compounds, rubber and composite-based components and assemblies for solid rocket motors and oxygen breathing hose and life support equipment used in military aviation. This role operates under the general supervision of the Engineering Manager and is integral to sustaining the company’s AS9100-certified quality system.

Working primarily in SOLIDWORKS PDM Professional, the Document Control Specialist serves as the primary functional administrator of the document control vault—ensuring all engineering and quality documentation, including released drawings, specifications, procedures, and supporting documents, are accurately maintained, routed, and archived. The specialist works with finalized formats, such as PDFs of engineering drawings and converted Word or Excel files, ensuring controlled documents are properly approved and stored for release. This position requires strong technical acumen, document configuration awareness, and close collaboration with Engineering, Production, Quality, Program Management, and Supply Chain. The specialist also serves as a support resource during internal and external audits.

Education And Experience Requirements

  • High school diploma or GED required
    • Associate degree in business, engineering technology, or related field preferred
    • Certified SOLIDWORKS PDM Professional (CPAP) is preferred
  • Minimum 3 years of document control or administrative experience
  • Experience in a regulated manufacturing or aerospace environment
  • Proficient in:
    • SOLIDWORKS PDM Professional including end-user and functional administrator responsibilities
    • Microsoft Office Suite (Word, Excel, Access, Outlook)
    • Adobe Acrobat for document markup and conversion
  • Familiarity with CAD file formats (e.g., SOLIDWORKS drawings, models, and exports), and experience working with documentation in compliance with AS9100 quality standards and CUI (Controlled Unclassified Information) protocols.
  • Experience maintaining electronic and manual filing systems.
Special Tasks and Focus Areas

  • Technical Document Control Administration
    • Serve as the functional administrator of SOLIDWORKS PDM Professional—managing vault structure, metadata, approval workflows, and lifecycle states
    • Route technical documents for review and approval; tracks progress of approvals; ensure timely distribution of released documents
    • Ensure correct documents are available at the point of use by maintaining current releases in the vault
    • Archive obsolete versions and maintain audit trails in compliance with AS9100
    • Assign document numbers
    • Ensure formatting, legibility, and version control across all document types
    • Ensure documents are marked appropriately per CMMC and CUI guidelines
    • Create and maintain document control procedures, templates, and standardized formats
    • Incorporates customer approval records of REDAR document changes into REDAR Change Orders
    • Point of contact for auditors during quality system audit of the document control system
    • Support and perform internal audits of document control system
    • Seek and recommend improvements to document control systems and workflow
  • Training and Support
    • Conduct training for new users on document control practices and SOLIDWORKS PDM system access
    • Facilitate ongoing training on updates to document control processes and PDM workflows
    • Maintain training records and develop user support materials
    • Conduct training for new hires on general Document Control practices
  • Serve as Backup to the Contract Review Specialist
    • Contract review and summarization of customer specifications and requirements
      • Review contract to identify administrative information, packaging and marking requirements, and quality assurance provisions.
      • Summarize findings and flow down requirements within Sales Order documents for use by operations
    • Determine customer document configuration during contract review and readiness
      • Completes configuration worksheets within a timely manner
      • Ensures the correct version of customer controlled technical documents are available
      • Prepares and submits requests for customer documents or for confirmation of the revision level of customer documents
      • Attaches copies of customer documents to Sales Order within ERP system
    • Assist Engineering Department Staff
      • Transcribe and format engineering content into standardized templates; proofread for spelling, grammar, and layout consistency to ensure accuracy and compliance with documentation standards
      • Perform data entry in support of engineering projects
      • Perform other similar duties as requested or assigned
