Job Description
- Answer, screen and direct all incoming calls.
- Assist and maintain an accurate filing, reporting, and invoicing system for all vendors, partners, and comply with general office procedures.
- Assist in the handling of clients and processes for both directors, including but not limited to, pulling reports and minimal analysis, processing contracts to legal department and management of insertion orders, web site audits of partners and competitors.
- Preparation and/or audit of documents and reports including but not limited to meeting minutes, marketing calendar, expense and comp reports, accounting, billing and invoicing for management team.
- Schedule appointments and meetings with vendors, coordinate travel arrangements and events etc.
- Creative review and routing to Brand for approval of partner emails, banners, sites and other promotional collateral.
- Facilitate and coordinate aspects of hotel marketing events such as providing collateral for website, email, or direct mail. Work internally to coordinate venues for receptions and partner events. ROI analysis; ensure aspects of the event are communicated appropriately internally and externally.
- Facilitate certain hotel marketing promotions, including promotion or rate code creation, set up routing of comp elements, creative development, legal review, list extraction, and fact sheet or additional internal communications.
- Work with Hotel Sales and multiple partners to create and deploy emails which are sent out to specified databases, prospect or known.
- Perform other duties and responsibilities as requested of management team.
- Requires a minimum of (1) one year experience in hospitality industry.
- Must be organized, detail-oriented, able to work independently on projects.
- Must have strong time management skills, takes initiative, strong desire to learn
- College degree preferred but not required.
- Must be willing to work evenings and weekends.
- Strong oral and written communication skills are required.
- Accelerated computer skills including MSWord, Excel, PowerPoint and Outlook are necessary.
- A strong understanding of the Internet.
- Experience in Marketing is a plus.
- Must be 21 years of age or older.
