Job Description

The Community Assistant position is an important position on our team. This position will assist with phones, registering new residents and providing customer service to homeowners who visit the HOA office. This position will report to the Assistant General Manager and will provide secretarial support to members of the Association staff. It is critical that our team provides friendly and customer service, approach with our residents.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Meets with residents, take trouble calls, direct residents to outside agencies when required.
  • Must be able to calm an upset resident, not take verbal attacks personally and to be professional at all times.
  • Accept and review Home Improvement Applications.
  • Process courtesy notice for lighting violations.
  • Conference room setup and tear down.
  • Assist with inventory of office supplies.
  • Monitor HOA bulletin board.
  • Check mail daily.
  • Create and/or maintain spreadsheets to keep track of notices.
  • Scan and file documents into member files, daily.
  • Review and maintain electronic submissions (forms) as necessary, such as informed consent waivers, email consent, and age verification form.
  • Other duties as assigned

QUALIFICATIONS:

  • Must be able to read, comprehend and follow oral and written instructions.
  • Ability to write correspondence and respond to complaints and inquiries in a coherent and readily understood manner.
  • Ability to work as a team player in a professional environment.
  • Proficient in Microsoft Office products Word, Outlook and Excel.
  • Ability to maintain effective working relationships with homeowners and resolve conflicts and problems courteously and tactfully.
  • Ability to multi-task in a fast-paced environment with minimal supervision.

Education & Experience

  • High School Diploma or GED Required
  • 0-3 Years of directly related or closely related experience

ENVIRONMENTAL DEMANDS

Work is performed in a climate-controlled office without exposure to adverse environmental

conditions such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise

extremes, machinery, vibrations, electric currents, traffic hazards, toxic agents, violence, disease, or

pathogenic substances.

Rate of pay: $22.00 an Hour
