Summary

Provides administrative support to Donor Development department by tracking, acknowledging and reporting on donor contributions. Supports organizational communications with donors, families, the public, and staff. Manages social media and website.

Essential Duties And Responsibilities

Include the following. Other duties may be assigned.

  • Processes and maintains records on gifts, pledges, tributes and membership transactions in database; updates Yahrzeit database and sends notices to family members
  • Prepares receipts and acknowledgment letters in response to gifts received
  • Prepares and maintains fundraising spreadsheets and reports including newsletter donor listings
  • Composes, prepares and files routine correspondence, tax letters, and other records; sends condolence letters to families of residents who have passed away
  • Answers and returns telephone calls; gives information to callers or routes call to appropriate individual
  • Supports organizational communications with donors and staff
  • Manages social media and company website to ensure accurate and up-to-date content Assists with development of Donor Newsletter
  • Supervises receptionist team; trains staff, creates schedules, provides support, ensures continuity of customer service, and works reception shifts as necessary
  • Coordinates organizational calendar of events to ensure acknowledgment of holidays and special events
  • Creates internal communications; edits, brands and assesses appropriateness of content
  • Assists with rental of various rooms for events
  • Helps and attends all donor events to include annual event; supports the event planner Provides other administrative support as requested

Qualifications

Education/Experience

Associate degree (AA/AS) or equivalent from two-year College or technical school; or three-years related experience and/or training; or equivalent combination of education and experience.

Language Ability

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to communicate effectively with callers/donors on the phone and in person.

Math Ability

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should have knowledge of MS suite software, and Raiser’s Edge database software.

Supervisory Responsibilities

Directly supervises approximately four employees in the Nursing Home. This role assumes ultimate responsibility for the growth and supervision of direct reports to include off-hour and on-call responsibilities. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.
