The Administrative Assistant supports the office and team with a wide range of traditional administrative responsibilities. This role is essential to the daily operation of the office, ensuring a welcoming environment, efficient processes, and reliable support for staff and visitors. The ideal candidate is organized, flexible, and thrives in a fast-paced professional setting.

Key Responsibilities:

  • Office & Team Support
    • Answer and route incoming calls; greet and assist office visitors
    • Coordinate meetings, lunches, and conference calls, including room setup and catering
    • Manage incoming/outgoing mail and deliveries; run occasional office errands
    • Handle general administrative duties such as scanning, copying, printing, shredding, and filing
    • Monitor and restock office and kitchen supplies, maintaining vendor relationships as needed
  • Facilities & Equipment Coordination
    • Coordinate basic maintenance and office cleanliness, including liaising with janitorial and building management services
    • Maintain local inventory and manage distribution of office supplies and equipment
    • Assist with troubleshooting office equipment and serve as a liaison with the IT department
  • Administrative Processes
    • Maintain calendars and assist with scheduling meetings and appointments
    • Process invoices for payment; track expenses and oversee use of corporate credit card
    • Ensure data confidentiality and integrity across systems and documents
  • Light Marketing & Project Assistance
    • Support internal event coordination and team communications
    • Assist with simple research tasks and draft occasional correspondence or marketing materials as needed
Work environment

Position is based on site in HORNE office Monday- Friday

Physical demands

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds at times.

Required Education And Experience

  • Minimum 1 years' experience copy editing/proofreading preferred
  • Minimum 1 years’ experience in a professional office environment required
  • Highschool Diploma or equivalent


Preferred Education And Experience

  • Office management experience preferred
  • Proven data entry skills
  • Experience with various office equipment including printers, scanners, copiers, and video conferencing required
  • Advanced Microsoft Office skills required including Word, Excel, PowerPoint and Outlook with experience coordinating calendars
  • Experience overseeing/coordinating services such as catering, administrative, travel, technology, etc. preferred
  • Experience with video conferencing applications including Zoom, Team, Webex, etc. preferred
