Administrative Assistant

The ADA Forsyth Institute

Date: 3 weeks ago
City: Somerville, MA
Contract type: Full time
Description

The ADA Forsyth Institute was founded in 1910 as the Forsyth Dental Infirmary for Children (later, the Forsyth Institute), to provide dental care to the disadvantaged children of Boston. While continuing to serve children in need, yet recognizing the ultimate goal is to prevent dental disease, the Institute in 1915 began to focus on scientific research and is today the world’s leader in oral health research. In October of 2023, the Institute joined with the American Dental Association to form the ADA Forsyth Institute, a 501(c)(3) entity dedicated to improving people’s oral and overall health and powering the profession of dentistry through cutting-edge basic research, creative translational science, innovative clinical technologies, and global public health outreach. Consistent with the Institute’s founding mission, the ADA ForsythKids mobile dental program continues to serve children in need.

The ForsythKids Program brings preventive dental care to underserved populations in Massachusetts at schools, day care centers, neighborhood facilities, shelters, summer camps, and public health events. The team is looking for a Full-time Administrative Assistant to work with our school-based mobile dental program.

Responsibilities include, but are not limited to:

  • Prepare administrative supplies for school/community clinic visits
  • Assist Operations Director with claims submissions and insurance billing/reconciliation
  • Assist team offsite, including program support/assistance and carrying/lifting of portable dental equipment (~ 50lbs)
  • Drive dental van between AFI and schools or community sites (non-commercial drivers license required)
  • Complete daily site assessment forms
  • Enter daily site oral health data into State’s REDCap database
  • Enter registration information into patient management software
  • Order supplies for Program
  • Other administrative tasks as needed

Minimum requirements include, but are not limited to:

  • A high school diploma

The ideal candidate works well independently and, in a team setting, is detail oriented, organized, self-motivated, and has a positive attitude. The ForsythKids Administrative Assistant will participate in all activities of the core ForsythKids team, complete mandatory trainings and required continuing education, and adhere to the policies and protocols of the ADA Forsyth Institute and the ForsythKids program.

Benefits including medical, dental, vision, and retirement are available with position.
