The People Operations & Office Coordinator provides first‑line People support across the full teammate lifecycle, and ensures smooth day-to-day office operations. This role manages high‑volume teammate inquiries, resolves Tier 1 help cases, completes I‑9 and E‑Verify processing, performs password resets, and maintains accurate teammate data for onboarding, sideboarding, and terminations. In addition, the coordinator supports office logistics, vendor coordination, and supply management. The coordinator ensures timely, accurate, and customer‑focused service while maintaining strict confidentiality and compliance standards.

This role follows a hybrid schedule, requiring three designated in-office days per week. Onsite presence may occasionally increase based on business needs.

DUTIES & RESPONSIBILITIES

  • Uphold standards of behavior as defined by the company Core Values, Code of Conduct and Operational Guidelines
  • Tier 1 People Support: Triage, resolve, document, and escalate teammate issues as needed
  • I‑9 Auditing & Monitoring: Conduct regular audits of I‑9 forms, ensure accuracy and completeness, track reverifications, and maintain full compliance with federal requirements
  • E‑Verify Maintenance: Initiate and monitor E‑Verify cases, resolve tentative non‑confirmations, and ensure timely case closure
  • Onboarding & Sideboarding: Prepare system access, coordinate tasks, and ensure a smooth experience for new hires and internal transfers
  • Offboarding & Terminations: Process terminations, remove access, and ensure accurate final updates in all systems
  • Teammate Data Changes: Process name changes, photo updates, job changes, verifications of employment, and HRIS updates with precision
  • Password Reset Support: Assist teammates with account access issues following security protocols
  • Documentation & Compliance: Maintain digital files, ensure data accuracy, and uphold confidentiality standards
  • Process Documentation: Create and maintain SOPs, workflow guides, and knowledge‑base content
  • Support Daily Office Operations: including supply management, mail handling, workspace readiness, and general office upkeep
  • Coordinate Logistics: with building management, maintenance teams, and office service vendors to ensure a safe, functional, and welcoming environment
  • General People Support: Partner with the People Team on recurring tasks, special projects, and department-wide operational needs
  • Service Level Excellence: Meet or exceed SLAs for case resolution, onboarding tasks, and compliance deadlines.
  • Performs other duties and tasks, as required

QUALIFICATIONS

  • 1+ years of people operations, HRIS, or general People experience, or high-volume customer service experience
  • Familiarity with HRIS platforms and help case systems preferred
  • Experience with I‑9 auditing and E‑Verify preferred
  • Strong communication, organization, and customer‑service orientation
  • High attention to detail and commitment to confidentiality
  • Ability to manage multiple tasks with accuracy and urgency
