Position Summary
The System Labor Resource Management Specialist is responsible for reviewing and monitoring all aspects of staffing which includes planning, distributing, deploying, and evaluating staffing patterns to ensure optimal workforce allocation in coordination with ECUH Leadership teams at each entity or practice. This role involves evaluating staffing needs of multiple disciplines across the healthcare continuum, coordinating with various departments, and utilizing scheduling software to maintain efficient staffing levels.
Responsibilities
Staffing Knowledge and Planning
Know the standard levels of services each disciplinary team can provide as it relates to patient acuity, unit care levels, and department models of care at all ECU Health entities.
Know the levels of care, staffing models of care, and census requirements for each unit at all ECU Health entities.
Know the function of each disciplinary team as it relates to the current role occupied such as in education, orientation, or in office to assist with flexibility for staffing coverage at all ECU Health entities.
Know the current length of orientation for each disciplinary team in coordination with an identified ECU Health leader of the location in order to assist with flexibility for staffing coverage.
Utilize the scheduling software, the Enterprise Staffing Optimizer (ESO), and the ECU Health Scheduling Dashboard to develop a comprehensive plan to allocate staff across departments and entities based on number of scheduled staff, workload and acuity, skill requirements, staff mix, and operational needs on a shift by shift basis and in times of variable influx at all ECU Health entities.
Monitor all ECU Health entities level of capacity and connect with the point ECU Health Leader for needs based on surge volumes. Use the scheduling software, the Enterprise Staffing Optimizer (ESO), and the ECU Health Scheduling Dashboard to develop a comprehensive plan in coordination with the point ECU Health Leader to allocate staff in support of the capacity volume variation.
Reviews scheduling software data and reports to evaluate and adjust staffing on a continual basis to best utilize available resources.
Collaborate with departments to understand staffing needs that deviate from the baseline models of care and develop strategies to meet those needs.
Assists ECUH Leaders with daily staffing needs by contacting resources as appropriate to resolve current and future staffing issues.
Data Analytics
Use scheduling software to create and manage staff schedules, reviewing for compliance with labor laws and company policies.
Collect and analyze data on staffing patterns, productivity, and efficiency to identify areas for improvement.
Prepares daily staffing reports for the ECU Health entities that reflect accurate staffing and needs throughout the system.
Assist the department manager and/or supervisor with requested research as it relates to workforce quantitative measures.
General Duties
Maintains professional communication with team members throughout the organization/system.
Accomplishes tasks using the current organizational communication devices, EPIC, the scheduling software, the Enterprise Staffing Optimizer (ESO), and the ECU Health Scheduling Dashboard.
Reports updates, changes, and other significant information in appropriate forums as needed.
In the event of power outages, understands how to rollout the downtime process.
Webpage management for the updated Labor Resource Office documents.
Other duties as assigned.
Minimum Requirements
Associate's degree or higher is required.
Bachelor's Degree or higher preferred.
Two years of healthcare related experience, one year of experience in a staffing role utilizing scheduling software, or one year in leadership role in a healthcare setting preferred.
Strong interpersonal communication skills, verbal and written.
Ability to communicate and work effectively with all levels of staff with the ability to problem solve, make decisions, set priorities and keep accurate, timely and orderly records.
Commitment to a high standard of customer service.
Knowledge of medical terminology, intermediate MS Word, Outlook, Excel, Access, and EPIC skills required.
Demonstrated knowledge of proficiency with MS Office programs to include, Word, Excel, Outlook, EPIC, and with remote collaboration tools and meeting platforms preferred.
Strong analytical skills with experience developing and maintaining reports, performing predictive analysis on workloads, vacancy rates, and scheduling preferred.
Act as team player exhibiting flexibility, self-motivation, dependability, and the ability to work well with others.
Other Information
Full time with benefits - 40 hours per week
Rotating shifts: RMC Office runs 24/7, there are 3 shifts: 7am-5pm, 11am-9pm, 9pm-7am.
Team member will need to rotate to accommodate to PTO, sick, etc.
