Qualifications

JOB SUMMARY

The Student Services Coordinator position reports to the Assistant Director of Student Services and is accountable for supporting teachers, administrators, students, custody or community staff, and other administrative staff.

We are looking for someone who insists on maintaining a positive attitude, enjoys supporting a diverse group of people, and is strongly committed to working as part of a team. If this job is for you, you take initiative, have sound judgment, and are resourceful in fulfilling assigned responsibilities. Effective communication with principals, teachers, and other departments regarding student services policies, procedures and processes is imperative.

This position supports the Five Keys SoCal Central Program in Los Angeles County. The scheduled hours vary between 7:00 am - 5:00 pm; the current schedule is 8:00 am - 4:00 pm.

Job Duties And Responsibilities

  • Collaborate with custody or community staff, teachers, and principals to provide support and ensure the smooth functioning of the school site and class assignments for students
  • Process enrollments and maintain student records in the Student Information System (SIS) for schools
  • Work with Operations and Student Services staff to ensure ADA is met daily
  • Process and address all student-related requests received across sites as needed
  • Ensure that enrollment and other intake paperwork is complete, accurate, and shared with appropriate staff, including scanning, uploading, and emailing documents to appropriate Five Keys staff and other stakeholders
  • Administer testing required for enrollment and placement, including CASAS tests for incoming students and practice GEDs
  • Provide informational sessions with staff and community partners regarding Five Keys student enrollment and programs
  • Ensure that accurate rosters are created, monitor wait lists and flow of students, and provide enrollment reports to authorized stakeholders
  • Conduct group and individual orientation with incoming students to discuss assessment results, placement options, and their educational needs, and share with staff to determine optimum placement and programming
  • Answer phone calls and emails and attend meetings related to student services
  • Make and distribute files and other informational materials for incoming students and community partners
  • Encourage students and provide approved resources and referrals to incoming students with barriers to school participation
  • Communicate new and returning student’s needs to the appropriate staff
  • Remain informed about current staffing, structure, and enrollment practices for all Five Keys sites in order to facilitate smooth, transparent, and appropriate placement of students
  • Knowledge share with other team members in need of information and assistance regarding new student enrollment and placement
  • Assist with events, including but not limited to recruitment and retention, site opening/closures, graduation ceremonies, and partner events
  • Compiles, prepares, and maintains reports as necessary
  • Assist with tracking and distributing technological devices to students
  • Process student requests for transportation services
  • Coordinate school lunch program at sites and remain in compliance with the county health department regulations for NSLP (National School Lunch Program)
  • Build rapport and interpersonal relationships with students in order to earn their respect and cooperation in following directions and school rules, and promote a positive campus climate
  • Supervise students while on site grounds which includes large group functions such as lunch breaks and assemblies
  • Communicate and enforce school policies and procedures regarding student behavior; report incidents to administrators when appropriate
  • Identify and intervene in conflicts between students and de-escalate situations, assist students with problem-solving using a restorative approach, and maintain high visibility while on site
  • Collaborate with partners to follow building/site regulations and policies
  • Maintain effective operations of all aspects of daily school operations
  • Other duties as assigned

Knowledge And Skills

  • Advanced proficiency in Zoom, Microsoft Office, Google Workspace, and databases
  • Able to maintain strict confidentiality and take all precautions when handling sensitive information
  • Proficiency in SIS or other learning management systems preferred

Education And Work Experience

  • High School Diploma required
  • Bachelor’s Degree preferred
  • 3-5 years working in an administrative assistant position preferred
  • Previous school office/administrative experience preferred
  • Previous experience working with in-custody populations preferred

Physical Requirements

  • Must wear provided PPE (Personal Protective Equipment) and adhere to all safety guidelines and requirements, when needed
  • Frequent talking and hearing conversations
  • Long periods of walking, sitting at a desk and/or computer station
  • Lifting items that weigh up to 25 lbs.; reaching, bending, carrying and stooping within the daily routine of tasks and activities

Additional Requirements

This position is contingent upon:

  • Satisfactory results of a Live Scan (criminal background investigation)
  • Successfully obtaining jail clearance for positions working in county jails or probation locations
  • Submitting proof of clear TB results. Results dated within 60 days prior to hire date are acceptable

WORK ENVIRONMENT

  • Moderate to high noise level
  • Work environment varies from site to site
  • Some personal safety risk working in underserved communities
  • Must be willing and able to work in a correctional facility, travel throughout the area to community sites, and travel state-wide to various locations or meetings as needed
  • Up to 30% travel to Five Keys locations throughout California as needed
