Position Summary
Cicoil, a Trexon company, is hiring for a Shipping & Receiving Coordinator in Valencia, CA. The Shipping & Receiving Coordinator is responsible for managing the daily operations of the shipping and receiving department to ensure the smooth and accurate flow of goods and materials. This role supports both inbound and outbound logistics, working to maintain compliance with company standards and customer requirements.
Key responsibilities include coordinating shipments, verifying that part numbers, quantities, and revisions (when applicable) match related documents such as Job Travelers, Supplier RMAs, and miscellaneous shipping requests. The Shipping & Receiving Coordinator will also weigh and/or measure outgoing shipments to ensure accuracy against packing lists, bills of lading, invoices, and orders. Additional duties include uploading shipment data to customer portals, receiving and inspecting incoming materials, and maintaining detailed and organized records to support production and inventory management.
Success in this role requires strong organizational skills, exceptional attention to detail, and the flexibility to stay late when needed to ensure all shipments are picked up on time.

Minimum Qualifications
Education:
- High School Diploma or equivalent required.
- 1+ years of experience in shipping, receiving, or warehouse operations (manufacturing environment preferred).
- Familiarity with shipping software and processes (UPS WorldShip, FedEx Ship Manager, etc.)
- Familiarity with manufacturing processes, supply chain principles, and quality control standards.
- Domestic shipping experience is required; international experience is preferred.
- Proficiency in logistics software and ERP systems.
- Proficiency in inventory management software and Microsoft Office Suite.
- Strong attention to detail and accuracy.
- Excellent organizational and problem-solving skills.
- Effective communication skills, both verbal and written.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently and as part of a team.
- Ability to work overtime.
- Arrange International Freight, Bill of Ladings, Waybills & Pick-up Schedules
- Create International Commercial Invoices
- Coordinate the clearance of incoming international shipments.
- Knowledge of acceptable shipping materials and methods
- Perform transactions in Epicor of all outgoing shipment information.
- Prepare shipping documents, package the goods in shipping containers using spacers, fillers, and protective padding according to the Packaging Instructions listed on the Job Traveler or other documentation.
- Properly address and label shipments, ensuring correct freight or postal rates are utilized.
- Confirms that all required signoffs are complete on the Job Traveler prior to packaging and notifies the Quality Department when signatures are missing.
- Ensure all customer shipping instructions/requirements are met.
- Arrange pickup with carriers outside of normal pickup schedules.
- Coordinate local deliveries and hand-carry shipments when needed.
- Drop off shipments to local UPS/FEDEX locations when required.
- Provide direction to others in preparing outgoing shipments.
- Unload incoming shipments, verify the accuracy of contents against purchase orders and invoices, and inspect for damages or discrepancies.
- Work closely with procurement, production, and quality control teams to ensure timely availability of materials and resolve any issues related to received goods.
- Maintain accurate records of received goods, including updating inventory systems and processing any necessary paperwork.
- Manage the return of defective or incorrect items to suppliers, ensuring proper documentation and communication.
- Assist in monitoring stock levels and conduct regular inventory audits to ensure accuracy.
- Adhere to all company policies, safety regulations, and quality standards in the receiving process.
- Maintain inventory of shipping materials and supplies and submit replenishment requests as needed.
- Responsible for keeping shipping & dock area clear & free of material and debris.
- Follows all safety protocols.
