We are seeking a detail-oriented and proactive Administrative Assistant for Operations to play a pivotal role in our organization’s daily functions and ensure seamless workflow. Key Responsibilities
- Act as the primary point of contact for daily office operations, managing phone calls, scheduling meetings, and greeting visitors.
- Oversee administrative functions, including document management (electronic and physical), copying, typing, and scanning.
- Maintain and coordinate the shared office calendar, scheduling both in-person and virtual meetings utilizing our online scheduling tools.
- Assist with data entry and contribute to the processing of monthly donations.
- Facilitate office setup for new hires by coordinating IT requirements with Operations staff.
- Provide foundational IT support in collaboration with our contracted IT team.
- Monitor visitor access and assist vendors during deliveries and service requests.
- Prepare correspondence, reports, and documents, along with maintaining minutes for monthly staff meetings.
- Manage incoming mail, oversee the postage account, and handle supply requests and inventory management.
- Update vendor information to effectively meet the organization's operational needs.
- Liaise with janitorial services and perform additional duties as assigned.
- Proficiency in Microsoft Office with a preference for familiarity with Salsa Labs.
- Basic understanding of computer maintenance; willingness to learn about server and networking skills.
- Experience in IT troubleshooting and collaborating with IT support teams.
- Strong attention to detail, exceptional organizational abilities, and a capacity to meet deadlines.
- Outstanding oral and written communication skills for professional engagement with staff, community leaders, volunteers, and donors.
- A High School Diploma or GED with a minimum of 2 years of experience in an administrative capacity.
- Proven ability to manage multiple tasks in a fast-paced, team-centric environment while demonstrating initiative.
