Overview

We are seeking a professional and organized Receptionist to serve as the first point of contact for our corporate office, ensuring smooth operations and a welcoming environment.

Job Summary

The Receptionist will be responsible for managing front desk operations, answering and directing phone calls, ordering office supplies, and overseeing general office management tasks. This role requires basic computer proficiency, excellent communication skills, and a proactive approach to maintaining an efficient and professional office environment.

Key Responsibilities

Guest and Visitor Support: Greet visitors, clients, and vendors, ensuring a positive first impression and providing assistance as needed.

Phone Management: Answer, screen, and direct incoming calls in a courteous and professional manner, addressing inquiries or transferring calls to appropriate staff.

Office Supply Management: Monitor inventory, order office supplies, and ensure timely delivery while staying within budget guidelines.

Office Management: Maintain a clean and organized office, coordinate mail and courier services, and assist with scheduling meeting rooms or office events.

Basic Computer Skills: Perform basic administrative tasks such as data entry, email correspondence, and updating internal records using Microsoft Office Suite (Word, Excel, Outlook).

Support Staff: Assist management team with ad-hoc administrative tasks, such as preparing documents or coordinating schedules.

Other Duties: Handle additional tasks as assigned to support the overall operations of the corporate office.

Qualifications

  • High school diploma or equivalent; an associate’s degree in business, or a related field is preferred.
  • 1-2 years of experience in a receptionist, administrative, or customer service role preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
  • Excellent verbal and written communication skills with a professional and friendly demeanor.
  • Strong organizational and multitasking abilities to manage competing priorities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Reliable, punctual, and able to work independently or as part of a team
