The Purchasing Agent has the responsibility and authority for the procurement of all project related materials as requested by the assigned project personnel with an emphasis of procuring all project pipe, valves and fittings and ductwork.

Compensation range: $80,000 – 90,000

Essential Duties And Responsibilities

  • Locating and procuring materials at the lowest installed cost that will meet the project requirements.
  • Prepare, distribute the evaluate quotations completed by various vendors as a prerequisite to initiating formal purchase order.
  • Ensuring information on purchase orders are correct, complete and accurately reflects the specific requirements of material requisition.
  • Contact vendor to follow up on the status and/or backorders when requested,
  • Selecting vendors that will provide the best value based on history and proven performance.
  • Completing and maintaining appropriate documents, logs and correspondence that support the procurement function.
  • Obtain sufficient information on products for submittal process.
  • Update and maintain current market pricing of standard project related materials for both purchasing and estimating personnel.
  • Input purchase order information into Vista (Viewpoint) and VCM.
  • Provide purchase order numbers and maintain Master Subcontract Agreement Work Order Authorizations for project and field personnel when requested.
  • Assist with pricing material & equipment takeoffs for estimating purposes.
  • Review invoices directly related to all purchase orders issued ensuring accurate cost are being invoiced by vendor.
  • Identify, coordinate, and document nonconformance with products and/or services to resolve problems or implement corrective action.
  • Initiating, recommending or providing corrective action to identified problems.
  • Locate new alternative sources of material.
  • Maintain positive and constructive relations with vendor and client representatives.
  • Assist in training of assistant purchasing personnel.
  • Assist in the training and distribution of the “Forman Material Requisitioning Procedure” Manuel with field personnel.
  • Assist Purchasing Manager when required.

INTERACTIONS:

Extensive interfacing with vendors, product representatives, project & jobsite personnel, and the various other departments within the office community.

REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

Bachelor’s degree (B.A) from a four-year college, 2 years related experience and/or training; or equivalent combination of education and experience in HVAC & Plumbing purchasing procedures preferred. Knowledge of pipe, fittings, valves, joining methods and ductwork is preferred.

KNOWLEDGE/SKILLS/ABILITIES:

To perform the job successfully, the employee should demonstrate the following competencies:

  • Thorough knowledge of project related materials especially pipe, valves, fittings & ductwork.
  • Attention to detail and accuracy is a requirement.
  • Thorough knowledge of purchasing system although JDE and/or Vista preferred.
  • Extremely high level of ethics when conducting purchasing transactions.
  • Ability to read and interpret specifications, plans and drawings.
  • Ability to read and interpret policy and procedures correctly.
  • Ability to work independently under various levels of pressure.
  • Ability to effectively respond to a wide range of urgent request and changes on a regular basis.
  • Ability to communicate effectively with vendors, products representatives, project & jobsite staff and office personnel.
  • Ability to work in a fast-paced office with changing demands and aggressive time deadlines.

LANGUAGE SKILLS:

Must have the demonstrated ability to effectively communicate, cooperate, and collaborate with multiple levels of employees, vendors, and suppliers.
