General Summary

Under minimal supervision, the Physician Services Onboarding Specialist coordinates the process and takes responsibility for numerous details to facilitate smooth operation for the successful onboarding of providers of the medical staff for the health system, including but not limited to all hospital and University of Michigan Health Partners employed providers, contracted providers, as well as providers that are associated with joint operating agreement network relationships of the health system.

The Physician Services Onboarding Specialist will have specific responsibilities for planning, directing and administering the organization wide provider onboarding and retention programs. Creates and applies consistent operational and system procedures, and processes to limit or eliminate practice variances and ensure a positive provider experience as well as timely and efficient start for all providers of the health system. Serves as a liaison with the Office of Professional Well-Being in an administrative support function as well as coordinates all system retention efforts as part of a comprehensive program.

The Physician Services Onboarding Specialist is responsible and accountable for supporting and directing the principles, mission, and vision of University of Michigan Health-West (“UMH-West”).

This Physician Services Onboarding Specialist will serve as a key stakeholder to deliver advanced and collaborative multidisciplinary programs and protocols in alignment with organizational goals for University of Michigan Health-West and possibly the University of Michigan Health region. In this role, Physician Services Onboarding Specialist will collaborate with providers of multiple different service lines to best meet expectations.

Requirements

Education:

  • Bachelor’s degree in human resources or business administration or healthcare related field
  • Three (3) years independently coordinating programs that requires a high degree of customer service and attention to detail.
  • Experience with new employee onboarding or training

  • Excellent verbal, written and public speaking skills.
  • Able to work within the interdisciplinary team setting.
  • Able to utilize basic computer skills in the workplace.
  • Strong organizational skills.
  • Demonstrates necessary skills and knowledge as outlined in position-specific competency requirements.

  • Excellent oral and written communication and interpersonal skills, as demonstrated by the ability to work effectively with nursing partners, individuals, and/or teams, across
  • Lead by example; demonstrated skill in change
  • Ability to convey a vision of an integrated health care system and embrace organizational change.
  • Comfortable leading people through a change process in a matrixed
  • Entrepreneurial spirit for business development opportunities and growth

Essential Functions And Responsibilities

  • Collaborate with all key stakeholders across the organization including but not limited to the Medical Staff Office, Revenue Cycle, HITS, Human Resources, Marketing, Operations, Compliance and various third-party vendors to ensure a positive provider experience and ensures efficiency and timely onboarding of all providers.
  • In cooperation with the Office of Professional Well-Being serve as the Administrative Support for the department.
  • In cooperation with leadership, participate and lead all retention efforts of aforementioned groups of providers across the health system. Individual will be responsible for reviewing and assist in responding to any complaints and grievances and recommend or take corrective action where appropriate
  • The Physician Services Onboarding Specialist will use all reasonable efforts to facilitate all provider pre-employment, orientation and retention requirements as appropriate
  • Promote an enjoyable onboarding experience for new hires by providing guidance through clear communication and timely responses.
  • Manages pre-employment process; works with key stakeholders to schedule new hire orientation and training.
  • Looks for opportunities to streamline and improve recruitment processes.
  • Monitors progress of pre-employment and orientation requirements as set forth by hospital departments.
  • Collect and review necessary onboarding documentation for completeness.
  • Responsible for informing candidates of deadlines for submitting onboarding documentation to ensure a timely start date.
  • Maintain appropriate reports for new hire onboarding statuses
  • Advises leadership by interpreting changes that may occur with any impactful areas of the health system in the effort of onboarding providers and changes in provider requirements
  • Provides leadership and expertise in the development of policies, procedures and guidelines.
  • Oversees adherence to standards of practice, protocols, and procedures, maintenance of and coordination of services with other units and agencies related to provider onboarding.
  • Participates in the development of department quality and safety plans, goals and process improvement initiatives
  • Develops educational and other programs to build the skills of participating providers.
  • Assist in coordinating the recruitment of providers when appropriate and to assist other team members
