ECS is seeking an Operations Support Specialist to work in our Norman, OK office.
- Supports managers of large group in employee and tour scheduling that encompasses Tier 1 support, projects, tasks, holidays, overtime, leave, and training activities. Participates in schedule management activities to improve operating performance and efficiencies.
- Creates training plans and schedules for team members to ensure all prerequisite and training requirements are met. Works with external training organization and management to identify training requirements and schedule team members in courses. Maintains training schedules and records for large group of employees.
- Performs administration of travel scheduling, approvals, and reconciliation for team members. Ensures compliance with established travel policies in booking travel and in management of travel documentation process. Reviews travel plans and expenses reports to ensure all travel is in accordance with budgetary requirements.
- Assists with testing, documenting, and implementing existing and new processes.
- Generates and distributes simple to complex reports to team members, customers, and senior management.
- Provides training to team members based on standard processes and procedures.
- Monitors performance data and processes to improvements to increase efficiency and reduce costs.
- Coordinates with other departments to ensure processes are integrated and in administration of scheduling, training, and onboarding new team members. Assists in maintenance of employee records.
- Works a non-standard schedule if required on a regular or as-needed basis.
- Requires no supervision in performing all job duties.
- Must be able to obtain a Public Trust Clearance.
- Proficient with online travel reservation system and use of established guidelines in scheduling travel for team members and completing travel forms.
- Proficient with maintaining schedules of large group of employees related to training, projects, leave, holidays, and overtime.
- Proficient in accomplishing tasks while demonstrating a consistent focus on producing high-quality work with little to no errors.
- Proficient with MS Office or other productivity software suites.
- Excellent communication skills in order to effectively communicate with other departments and external groups.
- Associates or higher-level degree preferred. Will consider a combination of education, technical / military training, professional certifications, and work experience.
- Familiar with a learning management system or similar application for the use of course enrollment and training records management.
- Experience in maintaining employee records.
- Working knowledge of ServiceNow or other workflow management platforms.
