Here's a Summary Of Responsibilities

Serve as a primary liaison to allshort-termOPTC programs to fulfill training and competitionand meet program requirements to ensure user satisfaction through effective communication and interaction with coaches, NGB program leaders, community agencies, Sports Medicine,and OPTC staff. Assist with all aspects of the department, including organization, management,and policy implementation. Coordinate with NGB staff and community organizations toensure optimum results are gained fromusing the training center. Assist theManager, Operationswith all program management needs.

Here's How You'll Have An Impact

  • Act as the lead coordinator for OPTCshort-termprograms and direct all program aspects, including training and competition schedules, program rosters, athlete program supervision, transportation, and special program requirements (meeting rooms, special meal requests, vehicle requests, performance services, etc.) with NGB program coordinator(s). Determine the most appropriate event and venue set-up based on NGB needs and direct appropriate teams to ensure efficient and effective event set-up. Develop and maintain communication with NGB program coordinators/coaches (60 days before the program start date) to ensure that all program requirements are met promptly.
  • Respond to changing needs before and during the program. Determinethebest action to accommodate changes and work closely with all affected parties–Sport facility staff, Sports Medicine, Food Services,Transportation, etc. –to ensure that any program changes are addressed and implemented effectively and efficiently.
  • Developbillingstatementsfor OPTC thatreflectaccurate charges,includingSafeTripcharges, room damages, and/or other additional program charges at the program's conclusion,and prepareafinal invoice for each program, as needed, based on funding status determined by Sport Performance.
  • Ensure accurate program records, includingprogram roster updates, sports facility/meeting schedule adjustments, housing changes,and transportation. Ensure that the appropriate OPTC meeting rooms arereserved for programs, USOPC divisions,and outside userstoresolve room conflicts and accommodate special requirements.
  • Administer all components of requirements for OPTC paperwork, SafeSport training, and Background Checks for all programs.Work with OPTC leadership for participants who violate requirementsand/orpolicies.
  • Evaluate the effectiveness of events and programs,createaction/analysis reports, and provide recommendations for future program needs and changes toOperations leadership.
  • At the end ofall OPTC programs, overseethepreparation of end reports on theassignedprograms (including biographical records).
  • Serve astheprimary user oftheStar Rez system and ensure all data flowing in and out of the database is accurate.Overseedata entry, pulling reports andotherinformation for other OPTC departments, and assisting others with the operation of the database, as needed.
  • Assist in coordinating program requests for training specialsandspecialguests (access badge, etc.) and details for VIPs as required or requested. Coordinate Facility Use programs with NGBs. Distribute updates to Sports Medicine,Strength & Conditioning,andathletesupport staff. Familiarize NGB coordinators withthecriteria for Facility Use programs.
  • Provide workdirectiontotheAthlete Center Registration Deskregardingprogramming. Participate in staff meetings to share information and ideas withthe Manager, Operations,and other Operations team members as needed.
  • Guide Operationssupport staffregarding athlete programming and operations policies and procedures. Supply training information onthedatabase system for eachstaff member, as necessary, and successfully leadstaffthrough their assignedterms.
  • Develop, implement,and assign housing for all upcoming OPTCshort-termprograms within 30 days of arrival. Advise Operations Specialists of check-in procedures forsame-daycheck-in and check-out. Work with FMD to compile an accurate listing of all furniture and other items in each resident dorm room.
  • AttendweeklyCSOPTCprogrammeetings.Be theconduitby which information is shared, both verbally and via Star Rez reports,from NGBs and programs to internal OPTC departments and constituents. Accurately report on past, present, and upcoming programs. Solicit commentsand feedbackfrom OPTC departments and compile records for programs/NGBs.
  • Participate in weekly housekeeping meetings with the Environmental Services staff (ABM) to discuss procedures for better serving our users.
  • Participate weekly meetingswith Venue Operations and NBG staff to determine effective scheduling and set-up needs.
  • Offer support, assist the OperationsManageron various projects as needed, and perform other duties as assigned.

Here are the skills and experience you'll need to be effective:

  • Bachelor'sdegree,preferably in Sports Management or Athletic Administration or equivalent work experience
  • 2+years of professional experience in a sports organization
  • Experience working with athletes, coaches,and volunteers
  • Excellent written and oral communication skills
  • Ability to prioritize work projects when dealing withvarioussports at one time, multi-tasking variouspriorities
  • Strong interpersonal relations skills, sound judgment, professional demeanor,and patience, with an emphasisoncustomer service and attention to detail
  • Computerproficiency withMicrosoft Office (specifically Excel),Windows, database management,andemail

  • Hiring Pay Range:$22.65 - $24.50 per hour.
  • This full-time, non-exempt position is intended to work 40 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 5% target. The USOPC may change or eliminate this program at any time at its sole discretion.
