DUTIES AND RESPONSIBLITIES:

  • Responsible for general administrative support to include answering all incoming calls, greeting, and registering patients and visitors, collection of payments, billing and release forms, scheduling patients, scheduling visitors and events.
  • Create a positive and supportive environment through active listening. Support patients, families, and referral sources to be directed to the appropriate staff and/or schedule an evaluation/meeting.
  • Gather information on incoming calls to determine how to best meet the needs of the caller and direct them to the appropriate staff for follow-up.
  • Ensure all calls are handled with professionalism and all call data is tracked.
  • Ensure patient records are accurately maintained. Support the clinical team with chart audits.
  • Responsible for ensuring all patient pre-admission, admission and discharge and scheduling data is accurate and entered in electronic medical records system.
  • Responsible for all patient billing processes, including VOB, patient statements and collections.
  • Track and submit weekly data related to call volume, admissions, discharges and census.
  • Submit monthly operation reports.
  • Manage building/facility issues by serving as primary point of contact. These responsibilities include the following: maintenance, compliance, licensing, etc.
  • Support the clinical team with communication to referral sources or other contacts.
  • Responsible for opening and closing the office.
  • Responsible for bank deposits and reconciliation.

Education/Experience Qualifications

  • High School diploma or equivalent required
  • 2-3 years’ experience working in an administrative capacity or customer service
  • Flexible working schedule is required.
  • If in recovery, 1-year continuous sobriety preferred.

Knowledge, Skills And Abilities

  • Ability to function as part of a self-directed work team.
  • Must exercise independent judgment, perform routine tasks with minimal supervision
  • Ability to interact professionally with patients, families, referral sources, staff and the general public.
  • The ability to type 50-60 words per minute.
  • Must possess excellent customer service skills and have a pleasant and inviting phone manner.
  • Must be computer literate and familiar with most Microsoft products such as Power Point, Excel, and Word.
  • Demonstrate versatility and flexibility in a busy environment.
