SUMMARY:

This position is located at our Cranston/East Greenwich, RI clinical sites.

Monday-Thursday 4:00 PM- 9:00 PM (Cranston)

Sat 8:00 AM- 12:00 PM (East Greenwich)

The Medical Secretary will be responsible for greeting patients at our facility. Additionally, the Secretary will obtain required personal and insurance information, establish patient account, disclose insurance and payment policies, collect payments, locate previous films and generally ensure necessary patient material is complete prior to the examination. The ideal candidate will interact professionally and effectively with patients, referring physicians and their staffs and coworkers while maintaining the best possible patient flow at all times. Additional responsibilities include performing related tasks such as assisting patients, maintaining and ordering supplies and maintaining the cleanliness of work areas.

Principal Duties And Responsibilities

  • Provide excellent customer service. Be prompt and courteous when answering the telephone, greeting patients, responding to questions and scheduling patients. Keep patient informed, i.e. waiting room status. Exhibit helpful behaviors.
  • Obtain necessary demographic and insurance information. Request prior films. Be conscious and respectful of patient’s privacy. Advise and distribute privacy policy.
  • Scan all documents: license, insurance card, financial policy, referral slip, HIPAA, etc. Confirm and/or update documentation in the system.
  • Collect co-pays, deductibles and outstanding balances for both the hospital and the office. Obtain credit card information for any out-of-pocket expenses.
  • Accurately post charges and payments.
  • Review all incoming referrals into the scheduling department.
  • Coordinate and communicate with the Radiologist and referring physicians and staff as required.
  • Ensure that films, examination requisitions and other related records are properly completed to ensure correct patient identification, statistical and billing information. Contact referring physician’s office for authorizations of additional studies and/or exam results as required and document accordingly.
  • Inform Lead Secretary of needed supplies to ensure continuous/efficient operations of the office.
  • Deliver reports, relocate and transport films as necessary.
  • Responsible for all requests for Medical Records, CD’s and films.
  • Ensure proper operation of equipment at all times. Immediately report any concerns relating to equipment operation.
  • Coordinate with and volunteer assistance to technologists and other personnel outside primary area of responsibility as required and time allows.
  • Always be flexible and available as scheduled to perform duties at specific times and places as assigned.

Basic Knowledge

  • Physical dexterity to assist Radiologist and handling of patient films and files.
  • Interpersonal skills to interface effectively with patients who may be under physical and/or emotional stress, referring physicians, staff, the Radiologist and fellow employees.
  • Organizational and analytical skills to compile and interpret data.

Education/ Certifications

Equivalent to High School Diploma. Graduate of a School of Medical Secretarial Sciences preferred.
