Job Description

The Manager Office Healthworks will provide day to day operational support and onsite leadership. The Coordinator will work closely with the office and support staff to maintain an efficient and productive workflow in the office. This position will provide oversight of office staff that are responsible for billing, ordering and maintaining patient and office supplies, referral coordination, time and attendance, patient and staff scheduling, claim compliance, timely physician signature for orders. This position requires becoming knowledgeable with Virginia Workers Compensation.

Responsibilities

Provides leadership for office staff and directly supervises reception and appropriate billing activities, time and attendance reporting, patient scheduling, accuracy with authorizations and insurance policies.

Maintains office staff schedules and vacation schedules for all staff ensuring adequate coverage. Works with clinical leads as needed to help coordinate provider and clinician coverage.

Ensures office/support staff is up to date with competencies and develop skills as appropriate while providing performance counseling when needed.

Assists providers and Managers with non-medical functions, coordinating meetings, responding to internal and external inquiries, making reservations, etc.

Works with leads and Manager to ensure consistent high quality customer service, develop scripting and education as needed.

Handle customer service issues and involve Manager as appropriate.

Works with Manager on monitoring and analyzing monthly reports for variances including missed authorization and productivity reports. Track referrals and outcome data with maintenance of appropriate reports. Pull and provide daily/weekly/monthly reports as needed.

Monitors the integrity of information for accuracy and appropriateness for the provision of quality patient care.

Serves as a resource to staff, patients, other departments and the organization as requested.

Oversees data entry into electronic health record system. Demonstrates full understanding of electronic health record systems and is able to instruct others.

Oversees and ensures effective communication between office staff and clients, including adjusters, nurse case managers, employers and health care providers, to obtain and deliver appropriate and necessary documentation and information.

Keep employer profiles and protocols updated.

Assists Manager in daily operation tasks as needed.

Qualifications

Required Education: High School Diploma

Preferred Education: Bachelors Degree

Required Experience: Two (2) years of office coordination, and/or supervisory experience. Working knowledge of all MS Office products

Preferred Experience: Experience working in health care clinic or environment Experience using electronic medical records and/or practice management systems to manage patient data and billing functions, run reports, and perform analytics
