NATURE OF POSITION
The Maintenance Data Analyst supports the efficiency, reliability, and sustainability of Ben Franklin Transit’s fleet, facilities, and operations by combining maintenance data analysis, asset tracking, and administrative support.
This role supports preventive maintenance planning, asset lifecycle monitoring, utility tracking, and documentation in alignment with the Federal Transit Administration’s (FTA) Transit Asset Management (TAM) requirements. It also supports internal communications, scheduling, and reporting to ensure smooth departmental operations, while providing the maintenance management team with accurate data to guide decisions on fleet performance, as well as preventive and predictive maintenance.
- Support the development and maintenance of preventive maintenance schedules and checklists.
- Analyze fuel, fluid (e.g., oil, DEF, coolant), and energy usage across fleet types, including battery-electric and alternative fuels, to identify anomalies and improve efficiency.
- Conduct daily fuel reconciliation and MPG analysis, flag discrepancies or trends in fleet performance.
- Assist in creating dashboards and reports on energy use, fleet efficiency, and maintenance KPIs.
- Use Enterprise Asset Management (EAM) software to track and manage maintenance activities and asset data.
- Coordinate asset condition assessments and maintenance plans to ensure FTA Transit Asset Management (TAM) compliance.
- Collaborate with procurement and inventory teams to forecast parts and fluid needs.
- Track and support energy and utility data related to facilities and sustainability goals.
- Support the maintenance team by ensuring accurate timekeeping and payroll records.
- Coordinate with supervisors to verify timecards, resolve discrepancies, and maintain compliance with agency and union requirements.
- Provide timely reporting and assistance related to scheduling, leave balances, and pay codes.
- Assist the maintenance department with scheduling, document management, and internal communication.
- Prepare and maintain records, reports, and correspondence in accordance with agency procedures.
- Provide support by answering calls, directing inquiries, and coordinating logistics for meetings and mailings.
- Support special projects, audits, and cross-coverage for administrative needs.
- Other duties as assigned.
- Strong analytical skills with the ability to interpret data, identify trends, and generate actionable insights.
- Working knowledge of fleet maintenance operations, sustainability practices, and regulatory requirements (FTA, EPA, WSDOT, etc.).
- Proficiency in Microsoft Office. Experience with BI tools such as Power BI or Tableau is a plus.
- Accurate typing skills (minimum 30 wpm) and the ability to produce high-quality written materials.
- Strong organizational skills and attention to detail. Able to manage competing priorities.
- Excellent communication skills and the ability to convey technical information clearly to various audiences.
- Ability to maintain confidentiality, demonstrate initiative, and work both independently and as part of a team.MINIMUM QUALIFICATIONS
- Associate or bachelor’s degree in business administration, Data Analytics, Transportation, Office Administration, Maintenance, or a related field preferred.
- Minimum of two (2) years of experience in administrative support, fleet data analysis, energy/fuel tracking, or public agency operations.
- Experience working with EAM systems, Microsoft Excel, and enterprise databases is preferred.
Must possess a valid Driver’s License
