Position Summary

Ecology Auto Parts, Inc. is seeking a highly motivated and detail-oriented Logistics Billing Assistant to support our Controller and Accounting Manager. This full-time position plays a vital role in ensuring accurate and timely billing across our logistics and transportation operations. The ideal candidate will possess a strong background in logistics, superior computer proficiency, especially within the Microsoft Office Suite, and experience working with accounting and logistics-related software platforms. This role requires analytical thinking, accuracy in data processing, and the ability to thrive in a fast-paced, deadline-driven environment.

Responsibilities

  • Process high-volume billing transactions with speed and accuracy in accordance with established policies and procedures
  • Generate, verify, and reconcile invoices using accounting and logistics software platforms
  • Assist with auditing freight charges and validating data against shipping documentation
  • Collaborate with dispatch and operations teams to ensure data accuracy and resolve discrepancies
  • Support month-end closing activities by preparing necessary billing reports and documentation
  • Track and update billing logs, rate tables, and service agreements as required
  • Perform data entry and documentation filing tasks in support of financial planning efforts
  • Assist the Controller with special projects and reporting needs
  • Support process improvement initiatives to increase billing efficiency and accuracy
  • Maintain strict confidentiality of financial data and organizational processes
  • Provide exceptional customer service to internal teams and external partners regarding billing inquiries

Requirements

Qualifications/Knowledge/Critical Skills

  • Minimum 2 years of logistics, billing, or accounting-related experience required
  • Strong computer skills with proven proficiency in Microsoft Excel, Outlook, and Word
  • Experience with accounting and logistics software systems (Sage 300, TMW, or similar platforms preferred)
  • High attention to detail and commitment to producing accurate work under tight deadlines
  • Excellent organizational, verbal, and written communication skills
  • Ability to work independently and collaboratively within cross-functional teams
  • Familiarity with transportation documentation and logistics processes strongly preferred
  • High school diploma or GED required; Associate’s or Bachelor’s degree in Accounting, Business, or related field a plus

  • Occasionally required to stand and walk
  • Must frequently lift and/or move up to 25 pounds

  • Minimal travel may be required

Compensation

The Logistics Billing Assistant position offers a competitive hourly wage range of $20.00 to $25.00, dependent on relevant experience and qualifications.
