The Natural Medicine Division (NMD) is a dynamic and innovative regulatory agency tasked with implementing the regulated Natural Medicine program in Colorado. Job Duties
This Licensing Specialist (Administrative Assistant III) position is critical to supporting and accomplishing the overall mission and vision of the Division. This position offers a variety of support services pertaining to the operation and administration of the licensing sections. This position performs application reviews, manages work load, answers stakeholder questions related to licensing, and processes deposits by completing data input and payment allocation.
As a Licensing Specialist (Administrative Assistant III), this position will be responsible for the following:

Experience Only:
Three (3) years of relevant experience in general clerical experience in an administrative or office support role demonstrating high level decision making and multitasking.
College or university course work in Business (or a similar discipline/field of study) may substitute for the experience on a year-for-basis.

Job Duties
This Licensing Specialist (Administrative Assistant III) position is critical to supporting and accomplishing the overall mission and vision of the Division. This position offers a variety of support services pertaining to the operation and administration of the licensing sections. This position performs application reviews, manages work load, answers stakeholder questions related to licensing, and processes deposits by completing data input and payment allocation.
As a Licensing Specialist (Administrative Assistant III), this position will be responsible for the following:
Application Processing
- Conducts background checks on applicants/licensees, and consults with applicants on problems that may prevent licensure based on suitability requirements.
- Follows up on application deficiencies via written requests to applicants and makes licensing recommendations in accordance with rules, regulations and procedures.
- Provides final recommendations of suitability for occupational license applicants, refers applicants for additional investigation if necessary and takes photos for occupational licenses.
- Provides training and guidance to new Division license staff in processing applications to comply with statute and accepted procedures.
- Processes applications such as changes of ownership applications, modifications of premises, changes of trade name and changes of location after the investigations have been completed. This position will also mail copies of newly issued or recently updated Division licenses to relevant parties.
- Disseminates information and responds to licensing inquiries and requests from the public, licensees, license applicants, Division staff, and others, through interpersonal contact, telephone contact, written correspondence and email.
- Checks voicemail of the main phone line, returns calls and/or refers complaints to the appropriate section(s) or Division Leadership.
- May serve as the first point of contact to the Division for other government agencies, license applicants, licensees, and the general public.
- Performs front counter function which includes, but is not limited to: checks in occupational and business license applicants; receipts funds received for applications; and refers licensees and the public to the Division's website and advises where questions can be submitted. Monitors and organizes office supply inventory.
- Electronically fingerprint applicants for occupational, business and owner licensure as well as applicants whose suitability is established by the Division. As part of this task, ensures that criminal justice information (CJI) data is properly protected in accordance with Criminal Justice Information System (CJIS) and Division policies and directives.
- Receives payment from applicants concerning applications.
- Reconciles, checks, credit cards and money order receipts from cash drawers with computerized cash processing system and prepares daily deposits of receipts in accordance with the Accounting and Financial Services (AFS) and the Division's policies, procedures and/or directives.
