Position Summary
We are seeking an experienced, proactive, and highly discreet Executive Assistant (EA) to provide direct support to the Chief Executive Officer (CEO) of Ichor Systems. This is a high-impact, high-visibility role that requires sound judgment, exceptional organizational and communication skills, and the ability to manage complex, dynamic priorities in a global environment. The EA will serve as a critical extension of the CEO’s office, supporting executive communications, internal and external engagements, and interactions with the Board of Directors, investors, and other key stakeholders.
Key Responsibilities
- Serve as the CEO’s trusted administrative partner, ensuring seamless execution of day-to-day operations, calendar management, Meeting Preparations and communications.
- Manage complex and dynamic scheduling across multiple time zones, prioritizing meetings and commitments in alignment with strategic objectives.
- Coordinate and prepare Board of Directors materials, including presentation decks, meeting logistics, and sensitive communications.
- Support the CEO’s image management and executive presence through professional written communication, follow-up, and preparation for internal and external speaking engagements.
- Maintain strict confidentiality of highly sensitive and proprietary information.
- Support CEO Staff members as needed, and serve as a liaison between the CEO and internal executives, external partners, customers, Investors, and Board Directors with tact and professionalism.
- Prepare executive-level correspondence, reports, meeting agenda, and presentation materials with a high degree of accuracy and polish.
- Track key action items and commitments, providing reminders and proactive follow-through.
- Handle domestic and international travel arrangements, expense reporting, and event planning.
- Support strategic projects and initiatives, ensuring timely coordination, follow-up, and reporting.
Qualifications
- 10+ years of experience supporting C-level executives in a global, fast-paced environment; prior experience supporting a CEO and/or Board of Directors strongly preferred.
- Demonstrated ability to work with discretion, maturity, and emotional intelligence at the highest levels of an organization.
- Proven track record of managing competing priorities, solving problems independently, and acting with initiative and resourcefulness.
- Exceptional communication skills—both written and verbal—with keen attention to detail.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Board portal software (e.g., Govenda) is a plus.
- Bachelor’s degree or equivalent combination of education and experience.
- Professional demeanor, unflappable under pressure, and high standards for service, quality, and confidentiality.
