Position Overview

We are looking for an Executive Assistant - Superstar - Project Coordinator to join our Delaware, OH, location and become a vital part of our mission-driven team. This role supports the Owner and project team in keeping our residential design-build projects running smoothly. If you're highly organized, detail-oriented, and thrive in a fast-paced environment where no two days are the same, we want to hear from you!

What You'll Do

  • Keep track of hundreds of contacts in my Association network with followups from our events
  • Sort my email and create systems to help automate this work
  • Manage my calendar and help me keep track of the many spinning plates :)
  • Assist in project management schedules, updating project timelines, and tracking deliverables.
  • Organize and maintain project documents, contracts, and client files.
  • Coordinate and schedule meetings, site visits, and vendor appointments.
  • Support communication between clients, contractors, vendors, and internal teams.
  • Prepare and proofread project proposals, estimates, and invoices.
  • Help with procurement, ordering materials, and making sure deliveries are timely.
  • Help with permitting applications and documentation compliance.
  • Be patient with me because I am an idea-a-minute creative!
  • Support my role by carrying out my ideas and keeping me on track.

What You Bring

  • Great with Technology and willing to try out of the box ideas, even if they may fail
  • Experience in project coordination, or construction/design-related fields preferred.
  • Strong organizational skills with the ability to multitask and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and project management software (experience in Job Tread)
  • Self-motivated, detail-oriented, and able to work both independently and collaboratively.
  • A love for the details and SOPs, creating process and flow charts a must!
  • A passion for design, construction, or home remodeling is a plus!
