Executive Support & Calendar Management
- Maintain conflict-free, well-structured calendars for senior leadership.
- Coordinate with teams to align scheduling with company priorities.
- Evaluate meeting structures to support efficiency and focus.
- Order lunches, coffees, supplies, and other day-to-day needs.
- Develop organized systems for recurring administrative tasks.
- Reconcile monthly credit card statements with accuracy and proper documentation.
- Prepare documents, track data, and support reporting for leadership.
- Ensure meetings are purposeful, documented, and actionable.
- Track follow-ups and support accountability across teams.
- Partner with Operations to coordinate company-wide meetings and deliverables.
- Arrange cost-effective travel plans as needed.
- Serve as the central point of coordination for executive priorities.
- Organize communication, highlight urgent items, and filter out distractions.
- Create simple reporting structures for leadership review.
- Identify opportunities to enhance administrative workflows.
- Support high-impact initiatives with structured planning and clear follow-through.
- Conduct research and assist with data tracking for executive projects.
- Experience in an Executive Assistant or similar operational role, ideally in media, tech, or entertainment.
- Strong organizational and analytical skills with a process-minded approach.
- Ability to work independently, prioritize effectively, and manage sensitive information with discretion.
- Proficiency with scheduling systems, productivity tools, and workflow platforms.
- Familiarity with production schedules and creative teams in fast-moving environments.
- Ability to communicate complex information clearly to multiple stakeholders.
- Interest in digital media and technology-driven industries.
