Position Summary: The Executive Assistant is a full-time, non-exempt position that provides high-level administrative support to KSTC’s executive team comprised of the CEO, COO, CFO, Chief of Staff, and Executive Director of Marketing. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is detail-oriented, tech-savvy, and adaptable—comfortable supporting executive leadership while also working collaboratively with staff across departments. The role requires judgement and discretion, often handling sensitive company information, as well as critical thinking and problem-solving skills.

The role requires judgement and discretion, often handling sensitive company information, as well as critical thinking and problem-solving skills.
Key Responsibilities:
- Provide daily administrative support to the executive team, including scheduling, travel arrangements and expenses reimbursement, document preparation, and meeting logistics.
- Support the COO in the implementation of standardized processes and the identification of program gaps and/or redundancies in order to drive inter-program collaboration.
- Serve as a primary point of contact for internal and external stakeholders on behalf of the executive team.
- Coordinate and manage calendars to ensure timely meetings, appropriate prep materials, and follow-up on action items.
- Prioritize tasks and actively follow up with stakeholders to drive continuous project progress.
- Support preparation of organization-wide internal communications, including agendas, presentations, reports, etc.
- Maintain filing systems and shared digital resources for organizational records and executive materials.
- Track deadlines and deliverables for key projects, strategic initiatives and workflows; support internal coordination and accountability.
- Assist with logistics for special events, board meetings, retreats, and internal staff activities.
- Uphold confidentiality and professionalism in all aspects of the role.
- Associate’s degree in business administration, communications, or a related field preferred; equivalent experience will be considered.
- 2+ years of experience providing administrative or executive-level support.
- Discretion in handling sensitive information.
- Ability to work independently and collaboratively across teams.
- Strong organizational and time management skills with a proactive, solutions-oriented mindset.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and common project/task management tools.
