About The Role

We are looking for an exceptional Executive Assistant to join our People team. This role will support a few members of our Executive staff, and you will enable seamless operations and serve as a critical communication link across offices as we continue to expand. You’ll anticipate the needs of the Executive, leadership, and broader team members, helping the organization stay focused on resolving issues before they arise. You move quickly with the changing environment and are up to date with the latest Envoy news, activities, and customer needs. In addition to being organized and analytical, you possess the impeccable business judgment and communication skills needed to interact with a variety of people and job functions. You get excited about being a strategic partner and serving as a "go-to" for all areas of responsibility. You will have tons of growth opportunities and visibility across the company.

This is a position that requires 5 days a week (Monday - Friday) in our San Francisco HQ office.

You will

  • Manage executive calendars, proactively scheduling meetings and resolving conflicts.
  • Coordinate business travel, including booking flights and accommodations, and submitting expense reports.
  • Plan and execute team events, meetings, and off-sites.
  • Greet executive visitors and send Envoy invites to ensure a smooth office arrival experience.
  • Support special projects as needed.

You have

  • 3–4 years of experience as an Executive Assistant or in administrative roles, ideally within a high-growth environment.
  • Proficiency in Google Workspace and a knack for identifying tools that streamline workflows.
  • The adaptability to thrive in a fast-paced, evolving startup environment.
  • Strong problem-solving skills, with the ability to anticipate issues and develop creative solutions.
  • Excellent organizational skills, with the ability to balance proactive planning and reactive support.
  • Strong written and verbal communication skills.
  • A self-starter mentality—you know when to take initiative and when to tap into your team for support.
  • Flexibility to work outside of standard business hours as needed.
