Essential Duties, Functions And/or Responsibilities
- Provide dedicated administrative support to executive leadership, including calendar management, travel arrangements, meeting coordination, and expense reporting
- Proactively manage executive schedules, ensuring efficient time management and prioritization of critical matters
- Prepare, proofread, and edit correspondence, presentations, reports, and other confidential documents
- Serve as a liaison between executives and internal/external stakeholders, demonstrating professionalism and confidentiality at all times
- Coordinate logistics for internal and external meetings, including team off-sites, board meetings, and vendor interactions
- Manage incoming communications, including emails and calls, prioritizing and responding on behalf of executives when appropriate
- Maintain accurate records and filing systems, both electronic and physical
- Support project tracking, timelines, and deliverables across cross-functional teams
- Anticipate the needs of the executive and provide solutions before issues arise
- Handle confidential and time-sensitive information with the highest degree of integrity
- Indirectly responsible for product quality
- Other duties as assigned
Education and/or Work Experience Requirements:
- 5+ years of experience as an Executive Assistant, supporting senior-level executives is required
- Proven ability to work in a high-volume, fast-paced environment with shifting priorities
- Exceptional written and verbal communication skills
- Highly organized, detail-oriented, and able to manage multiple tasks and deadlines simultaneously
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Teams, Zoom, etc.)
- Demonstrated ability to exercise good judgment and discretion in handling confidential information
- Self-starter with a proactive approach and strong problem-solving skills
- High degree of professionalism and polished interpersonal skills
- Ability to work independently and as part of a team
- Familiarity with supply chain workflows or high-volume distribution center operations is desirable
- Comfortable interfacing with internal and external executives, clients, and vendors
- Background managing Board meeting preparations and calendars is a must
- Technologically savvy with the ability to quickly accommodate to new applications and tools
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
