About The Role

As an Executive Assistant, you will play a critical role in supporting the efficient and effective functioning of senior executives within the organization. Your responsibilities will encompass a wide range of administrative, organizational, and communication tasks aimed at ensuring smooth operations and enabling executives to focus on strategic decision-making. This role demands a high level of professionalism, discretion, and strong multitasking abilities.

What You'll Do

  • Manage and coordinate the President’s calendar, scheduling meetings, appointments, and events.
  • Manage and optimize senior executives' calendars, including scheduling meetings, appointments, and events, while balancing priorities and deadlines.
  • Serve as a key liaison between executives and internal/external stakeholders, ensuring effective communication of messages, directives, and requests.
  • Screen and manage incoming communications (calls, emails, correspondence), responding on behalf of the executives when appropriate.
  • Represent the company’s brand and values by fostering collaborative relationships, championing a positive culture, and being approachable and supportive to all team members.
  • Coordinate comprehensive travel arrangements, including itineraries, accommodations, and transportation, and ensure all necessary documentation is prepared.
  • Prepare and distribute meeting materials, agendas, and presentations; take minutes and track follow-ups on action items.
  • Maintain organized electronic and physical files, handling sensitive and confidential information with discretion.
  • Draft, edit, and proofread a variety of documents, reports, and presentations with attention to accuracy and tone.
  • Support expense reporting and financial documentation, including tracking and processing reimbursements.
  • Assist in managing projects by tracking milestones, coordinating with teams, and ensuring timely completion of deliverables.
  • Proactively anticipate executive needs and independently resolve administrative challenges to enhance efficiency and effectiveness.
  • Support marketing in planning and executing employee events.
  • Support apparel logistics as needed.
  • Occasional travel is required.

Qualifications

  • High school diploma or equivalent.
  • Minimum 5 years’ experience as an executive assistant or in a similar administrative role.
  • Experience planning and organizing corporate meetings and events.
  • Strong organizational and time management skills.
  • Servant-mindedness is a must.
  • Excellent communication, both written and verbal.
  • Proficiency in using office software and tools (Microsoft Office Suite, email clients, calendar applications, etc.).
  • Ability to work under pressure, prioritize tasks, and adapt to changing priorities.
  • Professional demeanor and ability to maintain composure in high-stress situations.
  • High level of integrity, trustworthiness, and discretion.
  • Strong problem solving and critical thinking skills – ability to anticipate needs, troubleshoot issues and proactively manage challenges.

Preferred Skills And Abilities

  • Associate or bachelor's degree in business administration, communications, or a related field.
  • Experience supporting senior-level executives.
  • Understanding of the construction industry.
  • Event coordination experience.
  • Brand ambassador mindset.
