The Executive Assistant will provide high-level, confidential administrative support to the Executive Team at HomePro. This role requires a proactive, detail-oriented professional who thrives in a fast-paced, dynamic environment. The ideal candidate will have excellent communication skills, strong organizational abilities, and a service-driven mindset. This individual must be comfortable interacting with people at all levels, managing competing priorities with discretion, and staying two steps ahead of the executive team’s needs.
This position involves managing calendars, travel, events, meetings, expense reporting, and special projects, while maintaining strict confidentiality and a positive, professional demeanor.
Essential Functions:
- Provide comprehensive administrative support to the Executive Team, anticipating needs and prioritizing tasks proactively.
- Manage executive calendars, appointments, meetings, travel, and event schedules with precision and discretion.
- Plan and execute internal and external events, including employee functions, leadership retreats, town halls, and client events—overseeing logistics, vendors, budgets, and feedback.
- Prepare and distribute meeting materials, presentations, and agendas; coordinate follow-ups and document action items.
- Greet and assist visitors and clients, answering calls and handling inquiries with professionalism and warmth.
- Coordinate executive travel arrangements and submit accurate, timely expense reports.
- Support conference and industry event preparation for the Executive Team.
- Draft professional correspondence, emails, reports, and documentation with high attention to grammar and tone.
- Maintain well-organized digital and physical filing systems for efficient access to records and reports.
- Represent the Executive Team with tact and professionalism in all internal and external interactions.
- Ensure meeting spaces are well-prepared, including catering, materials, and tech setup.
- Act as a gatekeeper and facilitator, managing incoming requests with urgency and diplomacy.
- Perform additional administrative duties as needed or assigned.
- 3–5 years of Executive Assistant experience preferred.
- High school diploma required; bachelor’s degree a plus.
- Highly organized with exceptional time management and multitasking abilities.
- Advanced proficiency in Microsoft Word and PowerPoint; working knowledge of Excel.
- Strong written and verbal communication skills with attention to tone and professionalism.
- Self-starter with the ability to problem-solve and make sound decisions independently.
- Personable, approachable, and able to maintain composure under pressure.
- Demonstrates the highest level of integrity, discretion, and confidentiality.
- Proactive, resourceful, and solutions-oriented.
- Comfortable working across departments and levels of the organization.
