We are seeking a highly organized, experienced, and personable professional to serve in a dual-capacity role as Executive Assistant (EA) to the CFO and Office Manager for our growing New Orleans office. This is a unique opportunity to support a global finance executive while also playing a critical role in shaping the culture, operations, and efficiency of our local presence.
This person will serve as the face of the company in our dynamic, cross-functional co-working environment, which includes Finance, HR, and rotating groups such as interns and new hires. Key Responsibilities
Executive Assistant to CFO
- Manage a complex and dynamic calendar, ensuring meetings are prioritized and aligned with the CFO’s strategic agenda.
- Coordinate national and international travel logistics, including flights, accommodations, and itineraries.
- Prepare and process expense reports and assist with financial documentation.
- Provide organizational support around communications, emails, and task follow-ups.
- Support occasional in-person events, meetings, and board or investor-related sessions including logistics, catering, and materials preparation.
- Serve as the main point of contact for co-working staff, visitors, and vendors.
- Manage local onboarding logistics, workspace assignments, equipment readiness, and office supplies.
- Coordinate employee experience initiatives including local events, catered lunches, team meetings, and culture-building efforts.
- Ensure smooth day-to-day operations of the space (cleanliness, access, security, tech troubleshooting) and identify process improvements.
- Represent the New Orleans location in broader workplace experience discussions and initiatives.
- Help manage documentation and data requests related to shareholders, customers, vendors, and due diligence processes (e.g., financial statements, org charts, personnel data).
- Participate in a team to maintain and update a secure “transaction readiness” data room with timely, accurate information.
- Act as a liaison between Finance and other departments to ensure smooth cross-functional collaboration on time-sensitive projects.
- 5+ years of experience as an Executive Assistant, Office Manager, or similar role, ideally supporting C-level leaders in startup or high-growth environments.
- Exceptional organizational and multitasking skills with the ability to prioritize effectively in a fast-paced setting.
- Professional presence with the ability to interact confidently with senior leaders, visitors, and external stakeholders.
- Strong proficiency with Google Workspace, Slack, Zoom, and basic financial tools (e.g., Concur, Expensify).
- High level of discretion and trustworthiness — you’ll be handling confidential information regularly.
- Proactive, flexible, and collaborative mindset; someone who takes ownership and gets things done without needing constant direction.
