Executive Administrator – Scientific Director & Senior Scientist

Location: Headquarters office in Bismarck, ND

Delta Waterfowl is The Duck Hunters Organization, a leading conservation group founded in 1911. We work to produce ducks through intensive management programs and conservation of breeding duck habitat. Delta conducts vital waterfowl research and promotes and protects the continuing tradition of waterfowl hunting in North America.

Delta’s international headquarters is located in Bismarck, North Dakota. Currently, our dedicated team consists of almost 100 employees, of which about half work within our headquarters office and the other half work remotely throughout the US and Canada. Our organization has experienced tremendous growth over the last few years and this is expected to continue. Position Summary

This pivotal role offers senior-level administrative support to Delta Waterfowl's executive leadership, specifically the Scientific Director and Senior Scientist. Additionally, operating with a high degree of confidentiality and efficiency, managing a wide array of administrative tasks while ensuring sensitive information remains secure.

Essential Functions

  • Manage the Senior Scientist and Scientific Director’s calendar, travel arrangements, and correspondence
  • Coordinate logistics for scientific conferences, symposia, and board meetings
  • Draft, edit, and format scientific reports, presentations, and correspondence
  • Organize and maintain confidential records, research documentation, and databases
  • Screen and prioritize communications, ensuring timely follow-up and resolution
  • Organize and support team meetings, workshops, and collaborative projects
  • Liaise with internal departments (e.g., finance, HR, IT) to support scientific operations
  • Track deadlines for grant submissions, publications, and regulatory filings
  • Assist with onboarding and coordination of visiting researchers, interns, and fellows
  • Support planning and execution of strategic initiatives and special projects
  • Draft communications, reports, and updates for stakeholders and advisory boards
  • Maintain records, databases, and documentation relevant to scientific programs
  • Monitor budgets and assist with expense reporting and procurement processes

Required Qualifications

  • Minimum of five years of proven success in executive-level administrative roles.
  • Exceptional verbal and written communication abilities.

  • Ability to collaborate effectively within a team and engage professionally with the general public.
  • Strong aptitude for managing multiple priorities in a dynamic, fast-paced environment.
  • Resourceful and responsive to change, with solid problem-solving capabilities.
  • Advanced analytical skills and the ability to work independently. Proficient in Microsoft Office Suite, including PowerPoint, and other relevant software tools.
  • Willingness and ability to travel for meetings and events approximately three times per year.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit, talk and listen. The employee requires dexterity in using telephone, computer keyboard, mouse, calculator and other office equipment. The employee is regularly required to stand, walk, and navigate stairs. The employee must be able to lift and move up to 40 pounds unassisted. Vision abilities required by this job include close vision, depth perception and ability to adjust focus.
