The Executive Administrative Assistant is the lynchpin to smooth, daily department operations. In addition to providing executive administrative services to the business unit President and staff, this role brings data reporting and presentation development expertise to the leadership team – requiring a high level of organization, attention to detail, and discretion.

You Will Have The Opportunity To

  • Provide administrative, analytical and communications support to executives – including the business unit President and staff
  • Gather, organize, and manipulate multiple sources of data to design, develop and maintain reports, presentations and dashboards used to make business decisions and drive organizational improvements
  • Execute a variety of administrative tasks including managing calendars, arranging meetings and event planning that may require travel, and on-site or off-site functions in support of the executives served, processing travel and expense reports, facilitating correspondence and interfacing with external visitors, board members, suppliers, and candidates
  • Coordinate domestic and international travel arrangements for the executive team and their direct reports within the business units, ensuring a thorough understanding of visa requirements and international travel regulations.
  • Provide support to a wide range of communications initiatives
  • Be responsible for maintaining and continuously improving select business support systems
  • Coordinate centralized scheduling of conference rooms for trainings and meetings including preparing rooms with presentation materials

Requirements

  • High school diploma with at least 5 years of experience in administrative, communications or analytical roles (or combination of any)
  • Strong proficiency required in spreadsheet, presentation, and word-processing – MS Office software required (Excel, PowerPoint, Visio, Word, Access, etc.)
  • Ability to quickly learn Materion’s organization, operations, and policies coupled with relevant experience and technical skills.
  • Strong oral and written communications skills coupled with exceptional interpersonal skills and the ability to effectively deal with people at all levels of the organization
  • Must be a strong team-player with a positive attitude focused on continuous improvement and delivering results
  • Must possess strong senses of urgency, accuracy, and effectiveness
  • Must be self-motivated and manage time efficiently to ensure timely delivery of multiple priorities
  • Strong organizational skills; able to manage multiple priorities and perform well in a fast-paced and time-sensitive environment with accuracy and attention to detail
  • Demonstrates a high level of integrity when dealing with sensitive and confidential information
  • Resourceful, proactive self-starter with the ability to think and plan ahead
