The Opportunity: Events and Tradeshow Coordinator

  • Are you passionate about bringing brands to life? Realityworks is looking for a detail-oriented and strategic Events and Tradeshow Coordinator to support our marketing and sales initiatives through the planning and execution of special events, industry tradeshows, presentations, and site visits. This role is responsible for managing event logistics, coordinating marketing materials, and overseeing budgets to ensure seamless execution and strong brand representation.

Key Responsibilities

  • Event Planning & Coordination
  • Maintains the master event and tradeshow calendar
  • Coordinates conference registrations, presentations, housing, and related marketing materials (e.g., exhibit graphics, datasheets, flyers)
  • Coordinates logistics for paid program trainings delivered onsite or via webinar
  • Marketing & Materials Management
  • Manages inventory of marketing collateral, promotional literature, and tradeshow properties
  • Packs and ships tradeshow assets—including learning aids, booth materials, and promotional literature—ensuring timely and accurate delivery
  • Prepares presentation slides and materials in collaboration with Sales and Marketing
  • Cross-Functional Collaboration
  • Coordinates with Sales, Marketing, and Product Management to confirm event goals, equipment needs, and available resources
  • Liaises with sales representatives to understand and support their partnerships, events, and presentations
  • Vendor & Budget Oversight
  • Partners with vendors (e.g., exhibit house, printers) to ensure timely, cost-effective execution
  • Tracks event expenses and revenues, compiling post-event reviews to support future planning
  • Performance & Quality Assurance
  • Tracks and reports sales and opportunity dollars generated from events to evaluate ROI and inform strategy
  • Ensures event equipment and products are functional, high-quality, and ready for use
  • Manages event equipment and products, ensuring functionality, quality, timely fixes, and readiness
  • Additional Duties
  • Performs other duties as assigned


What You’ll Bring

  • Associate or Bachelor’s Degree in Marketing, Sales, Business, Communications, or field, or equivalent work experience in trade show coordination
  • Proficient in Microsoft 365 (Excel, Word, PowerPoint, Outlook)
  • Proficient with PC-based software programs and automated database management systems
  • Excellent verbal and written communication
  • Solid organizational skills with the ability to manage multiple priorities and deadlines
  • Previous experience working in a sales or marketing environment is preferred
  • Experience coordinating events, trade shows, or educational conferences is preferred


Work Location

  • Realityworks is located in Eau Claire, WI. This is a hybrid position, splitting time between working from a home office and working onsite at the corporate office


Travel Requirements

  • Occasional travel to trade shows and events as needed, typically 1-3 overnight trips per year


Physical Demands

  • Will include occasional walking, standing, stooping, bending, climbing, and lifting or moving materials or equipment up to 50 lbs.
