Position: Development & Marketing Production Assistant

Employment Status: Full Time, Exempt

Pay Rate: $45,000 annually

Reports to: Chief Philanthropy Officer

Department: Development

Position Summary

The Development & Marketing Production Assistant plays a vital role in supporting HAVEN’s fundraising, communications, and community engagement efforts. This position offers a unique opportunity to gain hands-on experience in nonprofit philanthropy, event coordination, marketing, and donor relations.

The ideal candidate is enthusiastic, organized, detail-oriented, and eager to learn. This role is designed as a developmental position, with mentorship and training that build toward advanced responsibilities in fundraising strategy, relationship management, and leadership.

Essential Duties

Fundraising & Development Support

  • Assist with preparation of donor materials, acknowledgments, and stewardship letters.
  • Support data entry and accuracy within donor management systems (e.g., Raiser’s Edge)
  • Help coordinate annual giving campaigns, sponsorship outreach, and grant tracking.
  • Conduct donor and prospect research under guidance of the CPO.
  • Maintain organized digital and hard-copy files related to fundraising events and partnerships.

Event & Campaign Coordination

  • Provide hands-on support for HAVEN events and campaigns including the HAVEN Gala, Seeds of Hope, Denim Day, and Community fundraisers.
  • Assist with vendor coordination, guest list tracking, sponsorship recognition, and onsite logistics.
  • Support event marketing (social media posts, flyers, signage, etc.).
  • Capture post-event metrics and assist in producing thank-you communications.

Marketing & Communications

  • Support the creation of social media content and assist in maintaining HAVEN’s online presence.
  • Collaborate with the communications team to develop digital newsletters and campaign materials.
  • Assist in producing promotional videos, photography organization, and storytelling for impact reports.
  • Update HAVEN’s website with upcoming events, volunteer opportunities, and donor news.

Administrative & Team Support

  • Schedule meetings, prepare materials, and take notes for the Development & Philanthropy Team.
  • Track project timelines and maintain a shared production calendar for campaigns and events.
  • Assist in preparing presentations and reports for leadership, board, and funder updates.
  • Provide excellent internal and external customer service aligned with HAVEN’s mission and values.
  • Other duties as assigned.

Requirements

  • Excellent written and oral communication skills and outstanding organizational skills required.
  • Models a positive attitude.
  • Uses effective time management,
  • Must be able to commute to Pontiac.
  • Must possess a valid driver’s license.
  • Must successfully pass a background check.

Education And Experience

  • Bachelor’s degree in marketing, Project Management, Communication, or experience in the field is preferred.
  • Experience with office administration a plus.
  • Experience with Microsoft Office applications and Raiser’s Edge NXT a plus or in donor management.
  • An Understanding of fundraising operations, event planning and execution, marketing including graphic creation, storytelling and public relations.
  • Ability to lift a minimum of 20 lbs.
