Under limited supervision, the purpose of the position is to provide responsible, complex administrative support. Â Employees in this classification function in a lead capacity and are accountable for the accuracy of both routine and non-routine administrative support duties performed as dictated by the nature of the Department. Â

Develop & Implement new policies/procedures to improve customer service. Â Compiles Department's policies and procedures and data for the Department's certification. Â Department liaison with Human Resources to train staff in customer service. Â Track staff training and complete a needs assessment for each area. Employee function in a lead capacity and are accountable for accuracy of both routine and non-routine administrative duties. Â Works with a high degree of accountability of work, great latitude to exercise independent judgment concerning assigned tasks, and the ability to function with a higher degree of independence. Â

Days/Hours: Monday through Friday, 8 AM - 5 PM, with the occasional weekend or holiday based on department needs.

  • Develop and Implement new policies/procedures to improve customer service.
  • Compiles Department's policies and procedures and data for the Department's certification.
  • Department liaison with Human Resources to train staff in customer service and other Departments such as Risk Management.
  • Oversee staff when necessary and as directed.Â
  • Track staff training and complete a needs assessment for each area.
  • Researches and generates routine to complex correspondence, reports and manuals.
  • Attends meetings and briefings to document subject matter concerning developments impacting the assigned supervisor and work unit. Â
  • Performs a variety of routine to complex administrative functions, e.g., data entry, report processing, and registrations.
  • Compiles, prepares, and may be responsible for distributing daily, weekly, monthly, or annual reports, invoices, and other relevant materials appropriate to the assigned Department.
  • Receives telephone inquiries and concerns, ascertaining the nature of the call and resolving personally, directing to the appropriate individual or Department, or acting as a liaison to the assigned supervisor.
  • Performs a variety of essential record-keeping duties and manages department record-keeping and filing system relevant materials appropriate to assigned Department, e.g., payroll, accounts payable, departmental files, personnel records, accounting data.
  • Develops, receives, and reviews various reports, plans, and applications to verify accuracy and ensures necessary copies of pertinent documents are made and distributed appropriately, e.g., statistical data, licenses, invoices, and purchase orders.
  • Completes and processes various forms required of the assigned Department, i.e., personnel forms, invoices, work orders, purchase orders. Â Monitors the Department's budge
  • Assists in the departmental preparation of the operating budget; requests documents; reviews budget documentation to ensure compliance with pre-established guidelines and requirements.
  • Operates various office equipment, e.g., computer terminals, word processors, printers, copy machines, telephone systems, and calculators.
  • Assists with training and monitoring of other support staff and volunteers.

Bachelor's Degree preferred or a High School Diploma with five years progressively responsible experience and training in administrative support functions; or an equivalent combination of education, training, and experience. Must successfully and accurately type with at least 45 wpm.

The work environment involves everyday risks or discomforts, which require standard safety precautions. Typical of such places as office or meeting and training rooms, e.g., use of safe work practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations and traffic signals when driving.
