AccessMatters partners with health centers, community-based organizations, and educational organizations to implement the Adolescent Health Initiative. This project is federally funded by the Office of Population Affairs (OPA), and as grantees AccessMatters will be responsible for the replication of evidence-based TPP interventions with youth ages 13-19, focusing on those who are living at or below 150% of the federal poverty level in Philadelphia. Through this project, AccessMatters provides evidence-based sexual health programing and training to youth, families, and youth serving professionals.

Job Summary

Reporting to the Senior Partnership Manager, the Community Engagement Coordinator will be responsible for coordinating and executing a robust outreach engagement strategy to youth, parents and families. This includes recruitment, enrollment, and retention efforts, as well as facilitating ongoing engagement with our key audience. The Community Engagement Coordinator is primarily responsible for ensuring that youth are enrolled into the Adolescent Health Initiative annually. The Community Engagement Coordinator also collaborates with the Senior Partnership Manager to support organizing partnership activities. The Community Engagement Coordinator organizes network partnership committee meetings and performs other day-to-day administrative activities to ensure that project deliverables are met in a timely way. The Community Engagement Coordinator will work together with AccessMatters’ internal and external stakeholders, including selected community-based partners, pediatric hospital partners, consultants, parents and families, government representatives, and members of the general community.

The ideal candidate for this position is a connector, one who can deliver information about the project succinctly and accurately to various stakeholder groups. While this position is hybrid, the candidate should expect to spend at least 50% of their time in the community, meeting with stakeholders, giving presentations about the project, and engaging in a variety of outreach and implementation activities. This position will be a member of the Training and Capacity Building team, which resides within the Strategic Initiatives department of AccessMatters, and will participate in all departmental meetings and activities as needed. This position is full-time and non-exempt.

Essential Functions

Reporting to the Senior Partnership Manager, the Community Engagement Coordinator will:

Collaborate with Network Partners to Recruit Youth, Parents and Families to the Program

  • Cultivate and promote positive relationships with participants and network partners.
  • Work closely with select partner agencies and other stakeholders to develop outreach strategies to identify potential youth, parent, and family participants and increase program enrollment.
  • Assess and analyze complex and challenging issues and/or concerns and communicate information and actions needed in a timely and trauma-informed responsive manner.
  • Work with program partners and the Senior Manager of Communications and Policy to develop communication strategies and provide guidance on developing promotional materials to recruit youth, parents, and families.
  • Identify network partnerships who could benefit from the work of AccessMatters and collaborate with the Senior Partnership Manager to provide in-person and/or online presentations and overviews.
  • Maintain existing relationships with youth, parents, families, and network partners.
  • Plan and execute promotional events to recruit potential and new youth, parents, and families.
  • Guide and monitor course registration for all new participants.
  • Collaborate with Senior Partnership Manager to conduct site visits of network partners as needed.
  • Implement system of communication (texts, calls, emails, social media messaging, etc.) with youth, parents, and families to ensure all interested are able to participate in and complete the program.
  • Plan, coordinate, and participate in outreach, special events, trainings, programs, projects, meetings, and other initiatives as assigned.

Collaborate with Network/Program Partners to Retain Participants and Their Families for Program Completion

  • Manage youth referrals, parents, and family engagement throughout the program.
  • Track participants’ progress through curriculum sessions.
  • Communicate regularly with participants to encourage ongoing participation in the program, including redirecting them to new course tracks if scheduling is an issue.
  • Distribute incentives to youth based on completion of course curriculum and evaluations, maintaining accurate records in order to meet fiscal and program requirements.
  • Implement evaluation tools to assess the goals and objectives of course programming, monitor course evaluation data, and partner with AccessMatters’ Research, Evaluation, and Data (RED) team for analysis.

Coordinate the Youth Advisory Board for TPP

  • Schedule, coordinate, and facilitate Youth Advisory Board (YAB) Meetings, and retain YAB members throughout the project terms. Engage YAB members in developing strategies for recruitment and retention activities of participants.
  • Work with Senior Partnership Manager to assure that YAB members can participate in program planning meetings with other partners and key stakeholders.
  • Manage distribution of participant stipends, incentives, and professional development opportunities, in compliance with all program and fiscal procedures.

Coordinate and Engage in Program Promotion and Community Outreach

  • Partner with Senior Partnership Manager & Senior Manager of Communications and Policy to create marketing and messaging materials to incorporate written and data information for pamphlets, brochures, presentations, newsletters, social media content and posts.
  • Manage the logistical details and components of program events to ensure smooth delivery of trainings, workshops, and other outreach initiatives for internal and external participants, including but not limited to: booking and setting up venues/sites; managing event schedules and deadlines; communicating instructions and timelines to participants; ensuring that appropriate material and other equipment is ready for use.
  • Assist in the production, packaging, and distribution of educational materials and promotional items directed toward youth, including fact sheets, brochures, promotional items, and other publications.
  • Stay informed of current information, trends, and best practices in the fields of youth development, education, adolescent, reproductive, and sexual health; stay current on relevant topical information and changes in services at key providers.
  • Participate in supplementary activities including: research, attendance at external trainings, community education, outreach, site visits, and others as assigned.

Assist with Program Operations and Goal Attainment

  • Maintain close communication with supervisor and meet regularly with program team to report and review progress.
  • Collect and process program data and paperwork, maintain and regularly update program database in an accurate and timely way, prepare and generate reports as required by management.
  • Coordinate and participate in special events, trainings, programs, projects, meetings, and other duties as assigned.
  • Facilitate the implementation of evidence-based curricula to youth and secondary audiences including families and youth serving professionals
  • Coordinate and complete routine administrative duties including filing, shredding, collating, stocking, and other operational needs.
  • Complete other projects and perform other duties as assigned.

Knowledge, Skills, Abilities

  • Demonstrated knowledge of positive youth development and empowerment; experience with education administration and/or student services strongly preferred.
  • Demonstrated ability and desire to work with in a multi-disciplinary team environment, serving Philadelphia populations and institutions across a broad spectrum of community and network providers within the fields of education and youth services
  • Ability to monitor expenditures and follow fisical procedures.
  • Ability to engage consumers and facilitate educational programs in various Philadelphia settings.
  • Ability to perform with a high level of confidentiality, discretion, and integrity.
  • Demonstrated ability to lead and work in project teams and manage multiple projects with multiple deadlines and priorities.
  • Superior written and verbal communication skills, coupled with highly developed interpersonal skills and demonstrated ability to facilitate meetings.
  • High degree of customer service skills and philosophy, to include responsiveness, and follow through, to deliver high quality support services to external and internal stakeholders
  • Proficiency with Microsoft Office Applications (Word, Outlook, Excel and PowerPoint).
  • Proficiency in varied electronic communications tools through assorted social media and web platforms, including texting, video chats, and direct messaging.
  • Ability to travel and work in the field (within Philadelphia) at least 50% of the time.
  • Experience working with youth ages 13-19 in Philadelphia.
  • Ability to occasionally work outside normal business hours (e.g., scheduled nights and weekends) with advance notice and schedule adjustments as needed to support specific events or activities.
  • Work collaboratively with all internal and external stakeholders, including but not limited to teams at AccessMatters, training clients, participants, trainers and subject matter experts, consultants, and vendors.
  • Maintain high ethical standards and conduct regarding confidentiality, integrity, and dual- relationships while representing AccessMatters effectively and positively to all stakeholders.
  • Adhere to all program guidelines and protocols and protect client information and records at all times in compliance with agency Confidentiality Policy and applicable law.
  • Eligible for all city and state mandatory clearances, e.g. Federal and State criminal clearances and child abuse clearances required.

Education And Experience

  • Bachelors degree preferred, especially in relevant programs of study. Relevant industry specific experience may be considered in lieu of degree where possible.
  • Minimum two (2) years working with youth ages 13-19.
  • Experience working in counseling, community-level or client-level health education, especially in the fields of youth development, and/or sexual and reproductive health. ANNUAL SALARY : $50,000.00. HOW TO APPLY : Community Engagement Coordinator
