Description

We have an immediate opening for a Receptionist/Administrative Support Specialist to provide general administrative support to our team members and clients.

Overtime and Saturday hours may be required during the months of February through April during tax season.

Responsibilities Include, But Are Not Limited To

  • Welcoming and greeting visitors upon arrival, acting as the face and voice of the firm, ensuring that the firm is represented in a professional manner
  • Answering telephones, screening, and directing calls to the appropriate person(s), taking and providing timely messages
  • Handling incoming and outgoing mail and packages and managing delivery to the appropriate person(s). Ensuring that mail and UPS packages are ready at appropriate times
  • Preparing engagement letters and invoices
  • Assisting with the processing of tax returns and filing of Forms W-2 and 1099
  • Creating reports in XCM software
  • Proofreading documents such as financial reports
  • Correcting and updating client information in Client Manager
  • Assisting with the receiving, stocking, maintenance and distribution of office supplies
  • Maintaining accurate files, including electronic files using software such as CCH Axcess Document and Engagement
  • Ensuring that the reception area, kitchen and copy room are tidy and presentable, with supplies to be restocked as needed
  • Handling copier and printer maintenance calls as needed
  • Planning and executing corporate events, meetings, and firm celebrations

Requirements

  • High school diploma required
  • Associate degree, technical school education and/or equivalent experience is preferred
  • Intermediate to advanced skills in Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Excellent verbal and written communication skills
  • Strong ability to grasp new software programs quickly and with a high degree of accuracy
  • 2 years of work experience in a busy office setting with a primary focus on receptionist duties
  • Demonstrated experience providing excellent customer service, client focused and collaborative
  • Strong organizational skills
  • Willingness to be flexible, take on additional duties as needed and learn new tasks
  • Ability to work independently and be part of a team with minimal supervision
  • Ability to work overtime and Saturdays during busy season
