The Accounts Payable Specialist is responsible for managing the company’s outgoing financial obligations. This role ensures vendors and suppliers are paid accurately and on time, all invoices are properly documented and approved, and expense records comply with company policies and regulatory requirements.
Key Responsibilities
Receive, review, and process vendor invoices and employee expense reports.
Match invoices with purchase orders and receiving documents.
Verify invoice accuracy, resolve discrepancies, and obtain proper approval before payment.
Schedule and prepare payments via checks, ACH transfers, or other methods.
Maintain organized and accurate records of all accounts payable transactions.
Reconcile vendor statements and respond to inquiries regarding payments.
Monitor accounts to ensure timely payments and avoid late fees.
Assist with month-end closing by preparing accounts payable reports and accruals.
Ensure compliance with internal controls and accounting policies.
Support audits by providing necessary documentation and explanations.
Qualifications
High school diploma or equivalent; associate’s or bachelor’s degree in accounting, finance, or business preferred.
1–3 years of accounts payable or general accounting experience.
Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.
Strong attention to detail, organizational skills, and accuracy.
Ability to handle confidential information with integrity.
Good communication skills for interacting with vendors and internal teams.
Work Environment
Office-based
Regular business hours with occasional overtime during month-end or year-end close.
