Position Summary

The Patient Service Representative is responsible for providing exceptional customer service while coordinating patient check-in and check-out, scheduling appointments, verifying insurance, collecting payments, and supporting daily front office operations for both our Women's Healthcare Clinics and MedSpa.

Essential Responsibilities

  • Welcome every patient with warmth, professionalism, and empathy.
  • Create a caring, supportive, and positive experience for every patient and visitor.
  • Check patients in and out accurately and efficiently.
  • Verify and update patient demographics and insurance information.
  • Schedule appointments, recalls, and follow-up visits.
  • Collect copayments, balances, cosmetic service payments, and retail purchases.
  • Support MedSpa patients by scheduling services, processing retail sales, and promoting a luxury customer experience.
  • Maintain accurate documentation within the electronic medical record and practice management system.
  • Assist with opening and closing procedures while maintaining a clean, welcoming reception area.
  • Protect patient privacy by following HIPAA and organizational policies.
  • Work collaboratively with providers and teammates to support patient care across all WSNM locations.
  • Participate in cross-training and perform additional duties as assigned.
  • Travel to other locations as needed.

Requirements:

Qualifications

Required

  • High school diploma or GED.
  • One year of experience in a medical office, healthcare, hospitality, retail, MedSpa, or customer service setting.
  • Strong communication and customer service skills.
  • Basic computer proficiency and ability to learn electronic medical records.
  • Basic knowledge of medical terminology.

Preferred

  • Previous OB/GYN, specialty medical practice, or MedSpa experience.
  • Experience with insurance verification, scheduling, and patient collections.
  • Bilingual (English/Spanish) preferred.
