About the Role
We are looking for an Operations Coordinator to support the Director of Operations, taking ownership of the high-volume coordination and administrative work that keeps things moving. This role is the backbone of our McKinney facility's daily operations.
From warehouse operations and technical services to customer service and sales, the Operations Coordinator needs to handle a lot of moving parts without dropping any of them, communicate clearly across teams, and know how a distribution operation works. As the person who ensures nothing falls through the cracks, they will work across departments and coordinate the team to get the job done.
Location: McKinney, TX — On-Site
Travel: Occasional local errands (DMV, bank, tax assessor's office); approximately one week of business travel per year
Reports To: Director of Operations
Compensation: Competitive base salary + full benefits package
What You'll Do
Document and Vendor Management
– Route emailed documents to appropriate parties, and maintain organized records of all forwarded documents
– Manage mail forwarding: scan, route, and follow up to confirm receipt
– Communicate with vendors and suppliers regarding order status, delivery logistics, and open items; relay updates to the relevant team members
Fleet & Asset Administration
– Renew vehicle and trailer registrations for registered assets each month and coordinate with drivers.
– Title new assets
– Coordinate asset transfers, update internal tracking systems, and communicate changes to stakeholders
Warehouse Systems Support
– Serve as first-line support for the warehouse management system (WMS) tickets. Triage issues, coordinate with internal teams and vendor support, and document recurring problems
– Attend weekly system calls and distribute action item summaries to the team
Permit Compliance & Facility Administration
– Track building permits and employee certifications (e.g., forklift) to support ongoing facility compliance
– Coordinate with vendors, contractors, and local authorities on permit-related matters
– Help keep the facility maintenance project tracker current
SOP Writing & Process Documentation
– Review workflows with department managers and frontline employees to document current processes
– Maintain a library of Standard Operating Procedures for common workflows.
– Flag outdated procedures for revision
HR & Administrative Support
– Support HR with onboarding logistics, interview scheduling, audit document preparation, and employee record updates
– Help coordinate employee training and certification schedules: 401(k) enrollment meetings, forklift renewals, CPR/first aid, and similar programs
– Handle routine administrative tasks on behalf of the Director of Operations, including correspondence, meeting notes, and local errands as needed
What We're Looking For
Experience
– 4-6+ years of experience in an operations, coordination, or administrative role
– Background in outdoor power equipment, agricultural equipment, or hardware distribution
– Experience in logistics, warehousing, or manufacturing is preferred
– Experience with vendor invoice management or AP coordination workflows is helpful
– Experience writing SOPs or process documentation is a plus
– Valid driver’s license and comfortable working in a warehouse setting
– Based in McKinney or willing to relocate
Skills & Knowledge
– Proficiency in Microsoft Office Suite: Word, Excel, and Outlook
– Comfortable working cross-functionally across warehouse, accounting, HR, sales, and IT teams
– Familiarity with WMS, CRM, and ERP systems is helpful
– At ease handling tasks that require visits to government offices or running local errands on behalf of the company
– Bilingual English/Spanish is a plus
Education
– Associate or Bachelor degree is preferred; equivalent work experience considered
