Multidisciplinary Health & Wellness Clinic in Virginia Beach, VA. -- We have a busy, growing medical practice with multiple specialities, multiple disciplines and providers, multiple price points, multiple scheduling systems and multiple locations. We are growing and looking for a full time OR part time team member to run our front reception area and also help with billing.

We are looking for an energetic and customer service oriented spirit that enjoys learning and working in a busy fast paced environment. Ideal candidate can confidently juggle multiple tasks at the front end of the business, and prioritize work efforts to assure clients have an enjoyable experience.

Prior sales or marketing experienced preferred. The receptionist's type duties include answering phones, responding to online leads, greeting clients, scheduling and confirming appointments, inputting and juggling a scheduling system and an electronic medical records system. Some of our services are cashed based and others are insurance billing related. This position requires this team member to know the ins and outs of our service menu to properly schedule patients with the best service.

PRIMARY RESPONSIBILITIES:

  • Actively greet customers and visitors with personal interaction, be courteous and helpful at all times. Take initiative to field and respond with assistance to resolve and follow up regarding any customer service matter in a timely manner.
  • Oversee neatness of waiting area, butlers station, and front end of the facility, ensure clean and tidy presentation at all times
  • Manage to do list, juggling tasks and phone calls, yet prioritize those physically present
  • Learn and utilize the proper way to activate and schedule new prospective clients. This is an important role for this position because of the multiple specialities and ways we can help customers.
  • Must have phone etiquette to triage questions and direct customers request
  • Manage customer wait times and customer flow, must coordinate and communicate well with other team members
  • Responsible for data entry and ability to onboard a new customer, process new referrals, and track billing and insurance information. Verify and scan demographic and insurance information and update files as necessary
  • Be able to contact and cultivate relationships with referral sources (physicians, case managers, etc.) for additional information to complete needs of the medical record. Ensure all information is collected to properly secure reimbursement. Also responsible for handling and tracking referrals and prescriptions as required in the medical record
  • Organizes and maintains filing systems for patients charts and front desk operations
  • Be confident in addressing cost of care and eliminate financial ambiguity so customers are aware and not surprised with any kind outstanding balance
  • Able to responsibly collect payment from customers and assist ensuring completion of billing/fee slip on each customer into medical record system.
  • Maintain strict customer and company confidentiality with personal health and financial information
  • Balance team and individual responsibilities. Independently manages and prioritizes multiple tasks in order to fulfill individual role on the team. Coordinate and communicate work efforts with other employees. Meets challenges with resourcefulness and generates suggestions for improving workflow
  • Approach others in a tactful manner, reacts well under pressure and treats other with respect and consideration. Accepts responsibility for own actions and follow through on commitments
  • Must be able to maintain positive appearance and attitude and comply with dress code policy
  • Remain flexible and adaptable to perform other duties as assigned
