WHAT YOU WILL DO The Executive Administrative Assistant provides administrative and clerical support to Executives, including management of calendars, appointments, travel arrangements, itineraries, executive correspondence, expense reporting, and coordination of critical and confidential matters. This role supports internal and external meetings, division/departmental-level events, Employee Engagement programs, VIP visitor logistics, catering, presentation materials, and general office functions to ensure effective executive and departmental operations
HOW YOU WILL MAKE AN IMPACT

Executive Calendar, Travel & Logistics: Manage executive calendars, schedule appointments, coordinate travel arrangements, maintain itineraries, and respond to schedule changes to support effective executive operations.

Meetings, Events & Catering Coordination: Coordinate internal and external meetings, division and department events, town halls, employee engagement activities, catering, materials, and logistics in partnership with executives, department heads, and key stakeholders.

Office Administration & Document Support: Perform general office functions including copying, mailing, filing, data entry, proofreading, correspondence preparation, presentation materials, and other administrative support activities.

Executive Communications & Confidential Information: Compose, review, and transmit executive correspondence; screen incoming information; and handle sensitive or confidential matters with appropriate judgment and discretion.

Expense Reporting, Visitor Support & Special Projects: Prepare and file expense reports; support VIP visitor agendas and itineraries; coordinate restaurant reservations, travel, meeting arrangements, and special administrative projects as needed.
Qualifications
WHAT YOU WILL BRING TO THE ROLE

Minimum 2-4 years related experience in executive support/administrative support in a corporate environment or equivalent related experience.

High School Diploma

Bachelor’s degree is preferred or a combination of education and experience.

Proficiency in Windows, including Outlook, Word and Excel.

Strong knowledge of PowerPoint is a plus.

Exercises sound judgment, discretion, and confidentiality when supporting senior executives and handling sensitive information.

Strong verbal and written communication skills, with the ability to interact professionally with executives, employees, vendors, and external stakeholders.

Strong organizational skills with the ability to prioritize competing deadlines, manage multiple assignments, and follow through independently.

Demonstrates problem-solving skills and resourcefulness in resolving routine administrative issues and coordinating executive support needs.

Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, with the ability to prepare correspondence, reports, and presentation materials.

Collaborates effectively in a team environment and builds positive working relationships across departments.

Shares knowledge and supports onboarding or development of new team members, as needed.
