SUMMARY: The Case Manager Assistant implements administrative tasks and support to the office, while also providing direct support to the case management team where needed. This position increases rapport with clients, helps to process paperwork in a timely manner, streamlines intake procedures, and provides program oversight and community referrals to individuals and families seeking assistance.

Must have the ability to listen objectively to people, perceive the real problem and assist in bringing issues to a successful conclusion. Must relate and interact with, volunteers, clients, contractors, visitors and employees at all levels within the Agency.
WORK ENVIRONMENT: Environment will occasionally become noisy due to equipment operations and interactions among clients and staff. There may be the possibility of being exposed to communicable disease, possible exposure to verbal abuse or similar behavior from residents/clients. On an as needed basis, employees may be called upon to work outside of the established work schedule or work odd hours. All information associated with the Agency is confidential.

- Greet clients and other visitors to the agency
- Assist with answering questions from clients and general public regarding program services
- Screen households to determine eligibility and needs
- Provide referrals and facilitate access to services and community resources as needed
- Build and maintain working relationships with community agencies to provide comprehensive services to participants
- Assist case managers in assigned area of responsibility, including compiling information, organizing paperwork and files, providing information to clients, coordinating with outside agencies, monitoring the status of cases, conducting home visits, providing transportation to appointments, and similar activities that address varying needs of clients and staff
- Communicate with Case Managers and Housing Specialists regarding client needs/situations/problems
- Use HMIS to document progress of clients and financial assistance received through programs
- Process requests for rental assistance, application fees and other forms of assistance
- Attend regular meetings of RRH providers
- Adhere to countywide RRH policies and procedures
- Conduct regular file review of clients in RRH programs
- Perform a variety of routine clerical activities in support of the office
- Assist Program Manager with meeting minutes
- Must be sensitive to and respect cultural diversity amongst clients, staff and volunteers and able to work with diverse racial, ethnic and economic groups.
- Ability to set appropriate limits, work under deadlines and multi-task.
- Ability to organize, prioritize, self-motivate, and deliver results.
- Responsible for collecting all necessary documentation for client files according to established guidelines.

- Comply with all applicable training requirements

- Comply with work schedule to ensure effective operations of Agency programs
- Contribute positively as a member of a productive and cooperative team
- Perform other duties as necessary to fulfill the St. Vincent de Paul CARES Mission

- Able to speak, write and understand English.
- Possess basic computer skills.

- Successfully pass Law Enforcement background screening.
- Valid Florida driver’s license if driving an agency vehicle or a personal vehicle for company business.
- Must have reliable transportation.
- Participates in Agency Performance Quality Improvement (PQI) program and Accreditation/Reaccreditation process.

- Abide by regulatory requirements of all rapid-rehousing funding streams and on the ethical use and application of program’s financial policies.
- Associates or bachelor’s degree is required for this position
- At least one years of hands on administrative support experience or case management
- Proficiency in MS Word, Excel, and Outlook
- Knowledge of operating standard office equipment
- Excellent communication skills, both written and verbal
